Sales Support Administrator

An excellent opportunity has become available for a Service Administrator whose key responsibilities will be in the scheduling and planning of engineers’ visits and the day to day running of the on line diary. You will have strong organisational and communication skills and an eye for detail.

Your customer base could be anyone from a sole trader to a blue chip multi national company. Platform Sales & Hire have approximately 400 customer owned machines on service contract.

The vacancy is based at Platform Sales & Hire in Newton Longville, working in the Service Team with three other colleagues.

Main responsibilities

Administrative support to include:

Service visits

Planning, scheduling and arranging customer service visits which can be PPM, repairs or breakdowns, using our own team of service engineers and also sub contractors.


For follow up repairs to a service visit: identifying spare parts (in liaison with the service engineer) required to repair the equipment, obtaining price and availability of parts, pricing the quotation and send to the customer.

Spare parts procurement

Identify the spare parts required, obtain price and availablity and place the order with the appropriate supplier

Customer invoicing

Collate the engineer’s paperwork, calculate costings and produce an invoice to the customer

Enquiry management

Front line receiver of telephone calls into the Service Team – filtering the calls as required and actioning those as necessary

Respond and action customer emails as necessary

Customer database and on line diary

Day to day management of the customer equipment database and on-line diary.

Ideal candidate

Essential experience

· Proven experience in an administrative environment (2+ years)

· Experience and intermediate knowledge of Microsoft Excel, Word and Outlook

· Excellent organisational and prioritisation skills

· Strong verbal and accurate written communication skills

· Outstanding customer service skills

· Ability to work under pressure and meet set deadlines

Desirable experience

Previous involvement with scheduling processes and systems
