Summary:

The Sales assistant’s focus is to eliminate administrative duties from the sales team. This role predominately supports the Account Managers, Business Development Managers (BDMs) and Sales Management. They will handle projects, coordinate sales effort and provide customer support.
This is a very fast-paced role, ever evolving as we take on new vendors, products and customers, each with their own unique demands. The role will suit someone who thrives being in the centre of things, getting things done, with a desire to continually learn and develop.

Essential Job Duties:

• Working with the Sales team and other departments as necessary, to help ensure smooth transactions from receipt of customer order through to delivery
• Processing orders and setting up customer accounts on the system.
• Proactively working to resolve any queries preventing orders from shipping
• Reviewing and reporting on customer back orders
• Responding to the sales inbox within the agreed SLA’s
• Liaising with couriers and vendors as and when required
• Updating the internal Digital Signage with relevant content
• Maintaining documentation relevant to the role for example specific customer requirements
• Processing order acknowledgements
• Coordinating with the Merchandising team and Vendors where appropriate to ensure we are maximising use of available promotions
• Update and maintain databases and information on sales systems.
• Complete all administration requirements for the sales teams.
• Diarise events and book meeting rooms.
• Handle overflow calls from sales team
• Communicate with customers, sales reps, and other departments.
• Compile and distribute monthly and weekly data/reports.
• Run Excel reports and projects.
• Schedule meetings and vendor training sessions.
• Check, distribute email and voice mail, and reports for absent reps/account managers.
• Produce material for presentations such as on powerpoint.
• Print backorder reports and account lists.
• Sort, research and distribute post/faxes.
• Handle RMA, literature, and miss-ship requests and liaise with Customer Services.
• Package and distribute promo/marketing materials.
• Work on special projects given by Team Leader or Sales Director.
• Work on reasonable projects given by Sales Reps.
• Other duties as assigned.

Personal spec

• Good attention to detail and accuracy are an absolute must in this process driven role
• Proactive nature and good use of initiative, with an aptitude for problem solving
• Excellent verbal and written communication skills are essential
• A team player with a high level of dedication
• Someone who can thrive under pressure and deadlines
• Previous experience within an Administration role desirable

Reporting Relationships:

• Reports to Sales Coordinator
• Interacts with Sales team, vendors, customers, sales reps, Executive Management and Team Leaders.
