Purpose:

A multi-task and varied role within the sales administration team, working internal and external stakeholders. Ensuring successful registration of client accounts occurs smoothly, along with the speedy and accurate processing of contract and commissions information onto in-house systems. High levels of accuracy, attention to detail and speed of data entry are essential in this role. The role also involves liaising with third parties, answering and dealing with internal and external enquiries, both by telephone and in writing. Providing management and performance information when required.

Key Accountabilities:

  • Researching & collating tender information to produce accurate and precise contractual/commission documentation
  • Work closely with the all sales channels to provide extensive and detailed administrative support
  • Work to identify and satisfy stakeholder requirements to deliver a high level of support
  • Demonstrate expertise in establishing and maintaining relationships over the telephone and in the workplace, with excellent attention to detail in terms of processing information and managing workload
  • Work closely with all sales channels ensuring all communication to internal and external stakeholders is to the highest standard to maintain a professional image and promote the Haven Power brand
  • Demonstrate flexibility and the ability to work across other areas within the sales administration team, providing support as and when required.
  • Build and maintain strong professional links across all sections of Haven Power in order to work effectively to ensure the wider objectives of the team are met
  • Contribute towards development and implementation of training plans
  • Monitor personal development by learning and understanding Haven’s customer management systems and increase understanding of the industry.
  • Produce weekly performance reports for the team leader
  • Assist in the promotion of Haven Power at for example seminars and promotional days if required
  • Contribute towards system improvements and developments
  • Timely and accurate processing of contract acceptances into all appropriate systems

Knowledge, Skills and Experience required:

  • Knowledge of the retail/wholesale electricity market preferred
  • Capable of balancing priorities in a fast paced working environment
  • Ability to work on your own initiative as well as within a team
  • Confidently take ownership and resolve problems and issues
  • Intermediate Microsoft Excel Skills an advantage
  • Ability to retrieve and analyse data from multiple sources and provide conclusions and recommendations in an informative manner
  • Excellent attention to detail
  • Strong organisational skills and time management
  • Strong communicator at all levels
  • Strong team player who is able to build rapport and influence internal partners to get things done under tight time pressures

Measures of Success:

  • Achieve required productivity levels
  • Achieve required accuracy in tender set ups
  • Achieve required accuracy with contracts sent to Customer Service
  • Achieve required accuracy in contract checks
  • All contracts loaded into ERS in a timely and efficient manner
  • All reports produced accurately and to required timescales
  • Good working relationships with key stakeholders
  • Increased personal knowledge
  • Continue personal development by looking for opportunities to develop
  • No missed SSD's
  • No compensation claims
