Roster Assistant

Your role will be to assist the Roster Assistant Manager in ensuring the smooth day-to-day running of the staff roster.

Specifically, your tasks will include assisting with following:

  • Management of the weekly roster - via an online database for over 50 carers and 100 clients
  • Input and maintenance of client and staff data
  • Oversight of real-time visit monitoring and immediate actions arising
  • Routine checks and controls, to ensure that the roster works as well as it can for our clients and carers
  • Weekly review of visits, including analysis of exceptions using excel spreadsheet
  • Information and reports for other departments
  • Forward planning of the roster, highlighting future staffing requirements and issues especially around school holidays
  • Development of roster strategy, procedures and controls
  • Creating invoices on a weekly and monthly basis - acting as a point of contact to clients or families for any queries
  • Inputting daily cheques onto tracking system

Assist with general office administration, including:

  • Phone answering/messages
  • Pay cash/cheques into bank

Out-of-hours cover (as required):

  • Visit monitoring, taking immediate actions if required (remote)
  • Emergency phone cover (remote)

Skills required

  • Excellent attention to detail and ability to manage numerous small tasks effectively; able to work to deadlines and provide progress reports to management
  • Confidence to work and communicate in a very fast paced office environment
  • Able to work under pressure - take responsibility, exercise clear judgement, consult appropriately
  • Good problem solving and initiative - anticipate problems in good time and suggest appropriate actions
  • Excellent communication skills, including a good telephone manner and the ability to cross-reference information with other departments
  • Competent IT skills including good knowledge of Word, Excel and Outlook
  • Good team worker but self-motivated - able to take initiative and work autonomously
  • Able to quickly and effectively learn new systems and processes
  • Experience of rostering - or working in a similar high volume, fast-moving environment - would be an advantage but is not essential
  • Experience as a carer would be an advantage but is not essential
