Outline of role
The post holder will take instructions from the Research Contacts Manager in the Joint Research Office and have accountability to the Commercial Research Manager but ultimately will report to the Director of Finance/Research. On a day to day basis the post holder will liaise with both senior management the team of staff and provide them with such legal advice, guidance and assistance as they require.
Day to Day Duties:
To support the Research Office, undertake assurance reviews of research administration with a view to making recommendations for the improvement of financial and administrative procedures, systems and controls.
To carry out ad hoc investigations and reviews of functions as directed by the Head of Research Assurance and External Audit and assist in the preparation of detailed reports on findings.
To assist the Head of Research Assurance and External Audit with the delivery of the Research Office’s Assurance strategy.
To coordinate and provide first line administrative support for scheduled monthly financial audits of European Commission funded projects (e.g. awards received under Framework Programme 7 and the current research and innovation programme, Horizon 2020)
To maintain accurate records of awarded European Commission funded projects to assist the Faculty Research Services teams and audit service providers in scheduling visits at the appropriate intervals.
To acquire and maintain knowledge of the post-contractual terms and conditions on European Commission funded projects and keep informed of future updates and revisions.
To support the Research Office with the coordination and provision of other funder-led audits that occur periodically (e.g. Research Council Funding Assurance visits)
To liaise with the Faculty Research Services teams in collating key documentation requested ahead of audit, ensuring supporting evidence is passed on to auditors in a timely manner and ahead of submission deadlines.
To liaise with the Corporate Records Unit in order to obtain requested documentation (held in College archives) ahead of audit; ensuring supporting evidence is passed on to auditors in a timely manner and ahead of submission deadlines.
To liaise with other College Business areas, where appropriate, in order to provide other documentation or evidence requested.
To develop and maintain standard operating procedures (SOPs) for the audit co-ordination role, ensuring these remain up-to-date and relevant.
To support the development and provision of specific and accurate audit guidance to the Faculty Research Services teams and Administrative staff in Departments and Divisions.
To support the Head of Research Assurance and External Audit in all other activities arising from College Internal Audit, funder-initiated external audits and special projects.
To support the Head of Research Assurance and External Audit and Research Assurance Officer in the organisation of meetings and workshops, and assist in the preparation of associated presentation materials, documentation and reports.
To acquire and maintain knowledge of the College’s post-award financial systems (Oracle Financials), as well as procedural knowledge in order to advise the Faculty Research Services teams in resolving queries arising through audit.
To respond to general queries directed to the Research Office with guidance from Office colleagues as necessary.
To undertake any other duties that may be reasonably required as a member of the Research Office
