JOB TITLE: Repairs Planner

SECTOR: Housing

LOCATION: Blackpool

ROLE TYPE: 3 months with possibility of extension


To contribute to the smooth and efficient delivery of a professional, responsive and customer focused repairs service
To support the Customer Service Manager and Senior Maintenance coordinator by planning and scheduling repairs and void works to minimise turnaround and optimise team performance
Ensure that all activities undertaken are to ensure that excellent customer service is provided and that resources are used efficiently


  • Organise, plan and manage the work schedule for the trades-persons and handy persons
  • Adjust allocated work for variations/no access and customer convenience: ensuring timely notification is given to customers
  • Enter work ticket updates and associated information into systems up to final closure stage in a timely manner and within targets set, ensuring processing verifies prior to closure
  • Relay material requirements from inspections, stock, returns and material returns to stores/supplier
  • To co-ordinate material and plant deliveries to stores, team members or site
  • Collate and return all completed associated details of work to facilitate final completion and or valuation
  • To guide and work in partnership with the team leader in directing resources to priority work
  • To coordinate, record and schedule work to void properties including assigning work and raising works orders to partnering contractors and sub-contractors; liaising with lettings and area teams to ensure timely updates are made during the process, including purging the system of outstanding response repairs
  • To be at all times professional and adaptable in approach to the role, taking into account the necessity for possible cover between the Customer Contact team in order to meet the needs of the business
  • Maintain and develop a planning software scheduling system to monitor progress against target to ensure as many appointments are kept as possible and ensure that any delays are minimised or escalated so that corrective action can be taken
  • Be responsible for and manage weekly reports on follow up works/ administration procedure to ensure works are fully completed within target timescales
  • To ensure all repairs and maintenance related performance indicators are met
  • To continually examine the level of service provided with a view to advocating improvements
  • To coordinate information relating to rechargeable repairs ensuring invoices are raised to customers in a timely manner
  • To complete works orders ensuring accurate allocation of costs prior to payment of invoices to sub contractors
  • To record customer complaints and resolve stage 1 complaints and Councillor enquiries
