The Role:

This position is responsible for providing information management expertise and knowledge to provide customer-focused and responsive support for managing corporate information. The role will extend and embed records and information management policies, retention schedules, and associated standardised processes and controls that are the `right fit` for Ricoh.

Key responsibilities:

-Support the team to deliver a comprehensive and cohesive service that meets the needs of users, supports the business and protects Ricoh
-Provide information management expertise to the business, responding to staff enquiries on records management issues; leading on developing/improving the support workflow with the IT Service Desk
-Contribute to the development of corporate information management policies and strategies, leading on embedding good information management practice
-Maintain retention schedules, embedding the need to follow policies ensuring GDPR compliance
-Promote awareness and use of information management tools / processes, encouraging a reduction of the volume of information retained by employees and strengthening compliance with Ricoh`s legal and regulatory environment. This includes working with corporate Learning & Development as appropriate.
-Work with the IT Applications team and Head of IS&G to contribute to the development/configuration of information architecture elements required for the roll-out of selected Microsoft tools.
-Support the continuous development of REMEA IT policies and procedures, creating a centralised repository and supporting the end user knowledgebase development
-Contribute to departmental budget planning and with business cases for investment in tools that may improve the content management and security posture in Ricoh

Knowledge & Skillset required:

-Educated to degree level (preferably an MA in information/records management) or substantial work experience at a level demonstrating equivalent ability
-Excellent understanding of information management best practice, and its practical application
-Experience of implementation and delivery of records management initiatives
-Experience with document/records management applications, preferably in a Microsoft environment
-Strong customer service skills, including the ability to influence key stakeholders to meet both the needs of business users, while maintaining appropriate information governance standards
-Ability to communicate complex messages clearly and concisely to all audiences, both written and orally
-Ability to take initiative and deliver change, contributing to wider culture change initiatives
-Adept at identifying areas for improvement and development - whether they be systems, processes, data or behaviours, and embedding those improvements
-Ability to manage time / priorities; a practical understanding of Service Level Agreements (SLAs)

-Experience of using O365 tools/SharePoint or familiarity with Docuware or other EDRMS to manage documents/records
-Experience using a Project Management methodology, preferably Prince 2 and/or ITIL
-Support and training experience
-Broad understanding of the incoming General Data Protection Regulations and ISO27001, as well as ISO15489
