*Delivery of Reception services involving liaising with both internal and external clients and to follow the Reception guidelines and procedures at all times.
*Record arrival of guests and notify person.
*To pay particular attention to guest's care and ensure that all visitors receive the highest quality of service and attention.
*Manage all bookings for client rooms and car parking.
*Answer and transfer incoming telephone.
*Ensure full ownership of the Reception and all associated areas, making sure that the areas are kept in the best possible order at all times.
*Check all meeting rooms on a regular basis.
*Manage daily meetings on the conference floor.
*Set up of AV equipment if required for meetings (training will be provided)
*Arrange Conference room furniture set up as required.
*Arrange refreshments for meetings and help serve breakfasts, lunches and dinners as required.
*Support clients, visitors with administrative requests where possible, e.g. printing, photocopying and scanning.
*Co-ordinate taxi bookings.
*Liaise with Courier companies to co-ordinate all incoming and outgoing deliveries.
Knowledge, Experience, Qualifications:
*Previous facilities experience.
*A high level of diplomacy.
*Sound decision making capabilities.
*Good administration and organisational skills.
*Capable of operating as a member of a team and work unsupervised.
*Ability to organise and prioritise workloads, together with the ability to handle deadlines and respond well under pressure.
*Good written communication skills and an ability to deal with internal and external customers and contacts at all levels.
*Good level of IT Skills, Outlook, Word, Excel.
