Receptionist and Administrative Assistant for Investment Management company

A boutique Investment Management company are seeking a dedicated Receptionist and Administrative Assistant to join the office of 40 individuals. This is a varied role that requires an individual that possesses initiative, a positive attitude and willingness to work hard!

*****My client are ideally looking for an individual that has previous experience working as a Receptionist in a stand alone role.

Reception duties:
*Meeting and greeting visitors, showing them to the appropriate meeting room and promptly informing the member(s) of staff participating in the meeting
*Responsible for being aware of all staff and visitors and the occupation of meeting rooms
*Responsible for maintaining the Central Diary for the above listed purposes, accepting all meeting requests in Central Diary and chasing discrepancies, such as when rooms are double-booked or meeting rooms not assigned
*Responsible for booking couriers, taxis etc. and maintaining an accurate record for invoicing purposes
*Sorting and distributing post upon its arrival. Organising for items to be sent out and going to the Post Office if necessary
*Buy and wrap all internal gifts, cakes, organise and circulate cards
** Being a Fire Marshall & First Aider

Administration duties:
*Responsible for maintaining the various corporate records and databases as and when required, for example internal staff telephone listst, the Reception manual, office desk plan etc.
*Responsible for creation and maintenance of corporate business card filing
*Responsible for running the Company's off-site archiving including arranging collection and deliveries of archive boxes, ordering new barcode labels and new boxes and maintaining the archive records
*Responsible for conference bookings, as and when required
*Booking travel arrangements (Taxis, hotels, logistics etc)
*General ad-hoc Administrative duties and running errands as requested

In order to be successful you must be organised, quietly confident and calm; you will be able to clearly communicate thoughts, ideas and instructions, verbally and in writing. There will be occasions where you will be required to provide support to the HR & Office Manager, such as in relation to office facilities and office administrative support so the ability to work well as a team is vital for this role!
