Search Aberdeen is offering a fantastic opportunity for a strong, talented Reception Administrator. The overall responsibility of this pivotal role is to deliver a first rate front of house experience to internal and external visitors. Being customer focused you will be responsible for managing the reception area to ensure a seamless flow of candidates and efficient diary management, handling your key responsibilities calmly and professionally. Alongside this you will be required to undertake any additional administrative tasks as required. The successful candidate will be a confident communicator with good working knowledge of Word, Excel and PowerPoint. The successful candidate will also be a team player with the drive to excel and achieve the highest standards.

About The Team

The Aberdeen office is a fast paced environment of 4 divisions and 10+ consultants. You will be joining a well established and energetic UK wide support team working alongside one other experienced member of the support division. The support division provides administrative support to multiple divisions as well as managing localised facilities and utilities. We strive to meet all targets set and pride ourselves on quality and consistency.

Responsibilities

  • To provide a first class front of house & reception experience to all visitors
  • Responsible for the overall presentation of the reception and meeting room area
  • Ensuring the switchboard is functional at all times
  • Assisting your colleague in dealing with payroll queries & payroll adjustment requests where appropriate
  • Preparing management reports to support the business and company best practices
  • General secretarial and administrative support for the divisions, typing & formatting proposals, letters and CV's
  • Maintaining and updating the database
  • Devising, implementing and maintaining efficient office systems to improve the efficiency of the division
  • Training and inducting new staff on the efficient use of systems/office procedures as required
  • Answering & transferring a high volume of internal calls
  • Ad hoc project work where appropriate
