To perform a range of reception, administrative and office support activities for the company to facilitate the efficient operation of the business.
To be responsible for the production of company letters and quotations; To be responsible for providing the sales team with presentation material, drawings and other associated documents in good time and looking ahead to prior arranged appointments. Receptionist duties including answering, screening, transferring calls and or message taking as required. Productions of all contract Operational and Maintenance manuals prior to completion of projects. Assistance and support with Supply Chain Management in relation to all sub-contractors and suppliers.
Ensure compliance with company health, safety, quality and environmental policy and procedures and support the delivery of the policies and standards.
Improve and develop customer relationships and ensure a working environment exists where complete customer satisfaction is at the forefront of every team members mind.
Maintain electronic and hard copy filing systems.
Prepare agendas and type minutes for meetings as requested.
Prepare and modify documents including correspondence, reports , drafts, memos and emails.
Schedule and coordinate meetings appointments and travel arrangements.
• Production of sales invoices.
• Maintain sales tracker and keep up to date with invoices.
• Debt control.
• Assisting with purchase invoices including scanning, filing and checking off invoices as required.
• Optimise financial opportunities in all areas.
• Maintain levels of stock of office supplies and spend.
Co-ordinate the maintenance of office equipment, such as photocopiers and printers.
Co-ordinate and maintain records of staff appointments and whereabouts with the company calendar.
