Reception Administrator

General Summary:

To provide switchboard and reception administration as part of the Facilities team based in Dorking. To ensure external visitors and contractors are professionally managed and to ensure the effective administration of Facilities procedures and corporate policy.

6 month Fixed Term Contract

Key Accountabilities:
  • The provision of switchboard and reception duties to ensure employees, visitors and contractors are received in a friendly, efficient and professional manner.
  • Be responsible for signing in and security pass processes to ensure visitors and staff are easily identified, reducing security risks to the business.
  • Control car park movements and manage booking of spaces at other offices when required.
  • Provide assistance to staff and visitors for room bookings and any arrangements involved to ensure rooms are professionally managed and organised for events and bookings.
  • Manage reception area to ensure documentation and equipment is functional and stored tidily to create a professional image.
  • Provide cover for other members of the reception team for periods of absence.
  • Be responsible for bookings of on-site residential accommodation and raise issues relating to these premises with the Premises Team.
  • Ensure the continued protection of Unum’s information, by following all applicable Information Security policies and procedures and by reporting suspected weaknesses in information security controls to the Information Security Officer.
  • Understand how Conduct Risk, Treating Customers Fairly (TCF) Risk Management and Solvency II systems of Governance relate to both the role and the divisional activities and highlight any opportunities for improvement.

  • Demonstrable experience in a relevant role.
  • Experienced switchboard operator.
  • Able to work alone with little supervision.
  • Able to understand corporate guidelines and policy.
  • Use and management of access control systems.
  • Excellent communication skills.
  • Fully adequate computer skills including the ability to create and develop spreadsheets; manipulate forms; use email; use access control system etc.
