Quality, Environment Safety and Facilities Support Administrator

Job introduction/overview

Working for the Quality, Environment and Safety team (QuEST) and PHS Group Headquarters Facilities Management team (FM) to ensure that all data is accurate for legally required reporting, performance monitoring and measurement.

Job description

The successful candidate will form part of a team that manages the systems that ensure that the business remains compliant with its various legal and regulatory requirements.

Roles and responsibilities

  • Reviewing submitted incident information, collating incident statistics/data for the group and producing a separate report used for reporting, analysis and strategic action by senior management.

  • Maintaining the QuEST and FM team master action register, including monitoring the progress of actions and chasing of responses from QuEST Regional Managers and Site Managers to ensure that timescales are met.

  • Collating responses to internal audits, ensuring action plans are updated and recorded on the master action register.

  • Managing the administration process relating to maintaining Safe Contractor and CHAS accreditations as well as any other contractor schemes of benefit to the Group.

  • Managing the renewal of our Waste Carrier certificates in both the UK and Ireland.

  • Evaluating and following up on the supplier on-boarding responses and liaising with the Procurement Department to ensure that all pre-qualification questionnaires are processed in accordance with specified timescales.

  • Collating any enforcement actions served to our divisions, recording them on the master action register and communicating them to the QuEST Regional Manager to address.

  • Maintaining the IOSH Training Spreadsheet to ensure that all employees receive applicable health & safety training.

  • Planning occupational hygiene testing and monitoring at applicable PHS Sites.

  • Maintaining records of PHS Group’s Waste Management Licences, Environmental Permits & Exemptions and ensuring that applicable matrices are kept up to date.

  • Handling Tender Documentation/information requests on behalf of the department in order that the requested information is provided in a timely manner.

  • Assisting the Company Secretary and Group Properties Manager in relation to data collection and management.

  • Assisting members of the QuEST Department and the QuEST Manager to achieve the objectives and targets of the Department.

  • Recording and producing minutes for management and team meetings

  • Monitoring supplier performance, verifying deliveries and invoices for department purchasing activity.

  • Monitoring the QuEST and FM e-mail inboxes and allocating actions to relevant team members.

Person requirements

We are looking for candidates with a high level of competence in Microsoft office, communication skills and an ability to prioritise work in an intensely busy and fast paced environment. A proven ability to meet strict targets and deadlines whilst remaining positive and approachable is also a key factor in this role. It is essential to be organised, tactful and professional with excellent attention to detail.
