A proposal Management Associate will be tactically supporting the overall Proposal Management team to implement proposals processes through the timely and correct assignment and management of tasks to be completed and to ensure that the proposal is then relevant and accurate to enable Sales and Pre-sales teams to successfully close deals. The role will form part of the broader Go-to-Market organization and closely collaborating with Sales and Pre-sales in the sales process. Main responsibilities Provide tactical support for all types of formal prospect requests (i.e. RFPs, RFQs, RFIs, ITNs, and PQQs) including setup of templates according to prospect specification, planning, scheduling and overseeing of the proposal response Provide pre-fill, editing, formatting, branding and proof-reading services for the entire proposal. Project management for the entire proposal process to include communication to the pursuit team and document management. Subject matter expert for company strategy, structure, culture and markets and statistical data. Shall fully understand, continually improve, and promote world-class proposal processes in accordance with Company standards Responsible for high-quality appearance of the final proposal product and the on-time delivery of the proposal Main Responsibilities & Key Accountabilities: Manages the full proposal process and acts as content owner/coordinator for general company information ensuring quality, branding and consistency of proposals Provide input into the qualification of bids to the pursuit team / assist in determining which bids to proceed with Works to familiarize oneself with the full services portfolio of the Company as well as the key or knowledgeable employees within each area of the Company Performs regular follow-up with members of bid team in order to receive the responses in timely fashion with the objective of meeting set deadlines Edits content received from subject matter experts and other contributors to the proposal for language, formatting, grammar, branding, clarity and brevity Provides support for the final review for proposals including: format checks, printing, binding, creating disks, distributing and the entire finishing of the proposal Maintain customer and prospect files including the maintaining of original documentation, returning customer copies, filing and scanning as it relates to RFxs Create/Maintain proposal file organization and distribute internal and external proposal documents to team (e.g., RFP, schedule, etc.) Conduct lessons learned and document and implement actions to improve overall process Work with management to select technical proposal team members and delegate authority/responsibility Identify, assess, resolve, and/or escalate issues as needed Read and interpret solicitation to identify critical items required for a compliant response For the overall proposal schedule, production schedule, outlines, compliance matrices, proposal development plan, and writing assignments Schedule Proposal Kickoff Meeting and daily status calls as necessary Key Role Competencies Mandatory: Strong command of written and spoken English, any additional European language is desired Experience with HCM Software knowledge (SAP/SuccessFactors, Workday) Advanced knowledge of MS Word, Excel and PowerPoint. Ability to take and follow written and verbal instructions. Strong database, project and document management skills to direct large, multi-contractor proposal team efforts Desire to work in and contribute to a virtual team environment. Excellent communication skills, both written and verbal. Strong commitment to corporate quality standards. Creative thinking, problem solving skills, and detail-oriented. Show initiative and proactivity and be flexible working in a changing environment with high stress and tight deadlines. Able to write, edit and proofread routine correspondence, proposals and presentations. Proven ability to multitask, solve problems spontaneously and rapidly, to take individual initiative with minimal supervision, and to interface and communicate with all levels of the employee workforce, including technical and non-technical employees, as well as with all levels of management. Able to work in a highly matrixed environment and work within official and unofficial organizational structures to resolve role-based tasks and challenges Understands and is motivated by the high-intensity, fast-paced atmosphere, challenges, and turnaround time constraints, which are common to the sales process. Able to work within resource and time constraints on a continuous basis. Self-motivated and able to drive and achieve in unstructured and structured environments, working in and across international internal and external teams Key Role Competencies Desired: Familiar with industry-leading proposal development concepts, practices and procedures Profile: 2+ years in HR, Payroll outsourcing or technology industry with a core requirement to co-ordinate internationally dispersed and remote teams to achieve measurable objectives. English Language qualification at bachelor's degree level Strong communication skills with demonstratable capability to manage upwards. MS Word certified or equivalent practical experience. Ability to learn new concepts quickly with drive and motivation to exceed expectations. Ability and willingness to quickly grasp technical concepts, practices and specialized vocabulary of various technical areas. Database / document management experience (SharePoint experience a plus). International experience desired.
