About the role

The purpose of the role is to provide support and assistance to the Group Property Director, her 6 direct reports and the wider team when necessary. This is a highly reactive role, requiring you to respond quickly to work requests, but to be of real value to the team, you will be pro-active in your working style, planning ahead and anticipating what their needs are before they have thought of it themselves! The main focus of the role will be to manage the diary of the Group Property Director [and her team when required], which requires constant attention to keep up with changing priorities, book meetings, travel and accommodation (mainly UK based) and process expenses. The role also encompasses all HR admin work, creation of property processes, managing execution and completion of legal documents, some property inspections and attendance at some meetings.

We are in the process of creating a Group Property function which will support our colleagues who deliver large, transformational outsourcing and technology projects in both the Public and Private sectors across all industries. The team will consist of Property, Facilities Management and Energy/Environment experts. The property portfolio consists of more than 300 properties and 5.1m sq ft. The new team will ensure that every square metre of space matters and that our teams have functional and innovative space within which to deliver their extraordinary solutions. Additionally, our property footprint needs to be environmentally efficient.

What you will do:

Liaising with professional advisers, suppliers and colleagues to schedule internal and external meetings (including teleconference, videoconference and WebEx)

Meeting and greeting external advisers, landlords and suppliers

Inbox and diary management

Booking and preparing meeting rooms for conference calls and video conference

Booking complex international travel and accommodation, including organising visas

Managing the HR admin side of the creation of a new team

Producing documents, briefing papers, reports and presentations

Organising events for team/landlords/professional advisors as appropriate

Organising Group Property communications and liaison with the relevant internal teams

Inputting expense claims

Answering telephone calls and taking messages where appropriate

Creating standard templates for approvals, process and procedures and implementing them

Running the Document execution process

Your experience will include:

Ideally educated to degree level or equivalent.

EA/PA experience gained within a corporate environment

Experience of complex diary management for multiple directors

Experience and ability to multi-task and comfortable with rapidly changing priorities

Highly organised and calm under pressure

Good understanding of a Corporate Real Estate team, including property terminology savvy

Experience of running the execution process of documents, organising all approvals and tracking and reporting progress to appropriate stakeholders

Capable of conducting initial property inspections or attending initial meetings on Group Property Director's behalf

Proficient user of Microsoft tools - Outlook (Advanced), Word (Advanced), PowerPoint (Intermediate), Excel (Intermediate)
