BLOCK PROPERTY MANAGER Liverpool £32-45000 + Bonuses

Will have to travel to Manchester and Leeds occasionally

DUTIES INCLUDE :
• Day to day management and cyclical maintenance
• Responsive property repairs, including assisting the out of hours’ service in a major emergency situation
• Planned property repairs
• Tenant communication
• Client liaison
• Service charge budgeting
• Funds Management
• Using the Qube system to manage and report on each site as required
• Legal assistance as required

DUTIES:

REPAIR INSTRUCTIONS. ISSUE REPAIR INSTRUCTIONS TO CONTRACTORS BY GENERATING PURCHASE ORDERS

REPAIR WORKS
ENSURING THAT WORKS ARE COMPLETED ON TIME AND TO A GOOD STANDARD AND COST.

BE AVAILABLE OUT OF HOURS (BY MOBILE PHONE) TO ADVISE ON
SERIOUS EMERGENCIES.

MAJOR BUILDING WORKS INITIATE, COORDINATE, CONDUCT CONSULTATIONS FORMAL AND INFORMAL, ORGANISE FUNDING AND ANY DEMANDS INCLUDING SERVING S.20 NOTICES.

PROFESSIONALS INSTRUCT PROFESSIONALS AS REQUIRED SUCH AS BUILDING SURVEYORS; CONSULTING ENGINEERS; LEGAL ETC.
ON SITE STAFF

BE THE FIRST POINT OF CONTACT FOR ANY ON-SITE STAFF, ENSURE THEIR WELLBEING AND SAFETY.

ENSURE THAT THEIR TRAINING REQUIREMENTS ARE CONSIDERED DOCUMENTED AND MET AS REQUIRED; SUITABLE CLOTHING, MATERIALS AND EQUIPMENT ARE PROVIDED.

ARRANGE FOR ALL NECESSARY RISK ASSESSMENTS TO BE CARRIED OUT WHEN REQUIRED.

DETAIL ALL REQUIRED ACTIONS ON SYSTEM. WHEN COMPLETED UPDATE 4 SITE WEBSITE WHERE APPROPRIATE.

MAINTAIN THE SALE PACK USED TO RESPOND TO SOLICITORS’ ENQUIRIES ON THE SALE/PURCHASE OF PROPERTIES.

LEGAL UNDERSTAND AND APPLY LEASEHOLD LAW AND PRACTICE AND ACT ACCORDINGLY.

ASSIST WITH LITIGATION INCLUDING ATTENDING COURT OR FIRST TIER TRIBUNAL & ASSISTANCE WITH DOCUMENT PREPARATION.

ARRANGE A SUPPLIER CONTRACT FOR EACH AND EVERY SUPPLIER IN THE REQUIRED MANNER.

ELECTRONICALLY APPROVE SUPPLIER INVOICES IN A TIMELY MANNER.

VISIT EACH SITE AT A FREQUENCY AGREED WITH YOUR MANAGER AND PREPARING SITE VISIT REPORTS AND PHOTOGRAPHS, TO BE LOADED VIA QUBE.

LEASEHOLDER MEETINGS ARRANGE, COORDINATE AND ATTEND MEETINGS AS REQUIRED.

COMMUNICATIONPARTICULAR THE STATUS/COMPLETION OF REPAIR PROJECTS OR INTENDED MAJOR WORKS. REGULAR COMMUNICATION WITH LEASEHOLDERS VIA CIRCULARS & TENANT PORTAL ESPECIALLY ON COMPLICATED MATTERS.

TENANT PORTAL ENSURE NOTICEBOARD & USEFUL DOCUMENTS ARE UP TO DATE FOR EACH PROPERTY.

SUBMISSION OF ACCURATE REPORTING VIA QUBE AS INSTRUCTED. REPORTS SHOULD BE ACCURATE AND MUST BE ON TIME. THIS FUNCTION IS A KEY ELEMENT OF THE ROLE

PREPARATION OF SERVICE CHARGE BUDGET & DOCUMENTATION INCLUDING CONSULTATION WHERE REQUIRED FOR APPROVAL BY DIRECTOR AND CLIENT.

FINANCIAL MANAGEMENT RESPONSIBILITY FOR ENSURING THAT THERE ARE AVAILABLE FUNDS TO MEET EXPENDITURE. WORK WITH THE REGENT TEAM AND COORDINATE WHERE NECESSARY; ARREARS COLLECTION;

MAJOR WORKS DEMANDS; CLIENT LOAN; TENANT SERVICE CHARGE ENQUIRIES. AS PART OF THE REGULAR PROPERTY REVIEWS THE PROPERTY MANAGER WILL REVIEW SPEND AGAINST BUDGET.

ARREARS COLLECTIONS HELP DIRECT COLLECTION OF ARREARS IN CONJUNCTION WITH THE CREDIT CONTROL TEAM

This is an immediate start and requires a minimum of 3-5 years experience as a property manager with a steady work history and proven track record of a similar role
The ideal candidate will be a driver, based in Liverpool but happy to travel to other locations ie Leeds/Manchester occasionally

Must have experience of looking after block or flats structure and communal areas and want to work for a small but growing company
