Property Manager - Block Management
£28,000-£30,000 (depending on experience/Qualifications) + Car allowance and company benefits

Key Areas
Manage a diverse portfolio of residential property
·Preparation of budgets, communicating budgets, overseeing annual maintenance, and delivering service charge accounts
·Assisting in the handover of new schemes from clients
·Lead in the appointment and retention of suitable and competent contractor/s and consultant (where required) to deliver maintenance and servicing contracts.
·Ensure appropriate arrangements are in place for auditing the servicing, maintenance and installations of service contracts (both planned and reactive).
·Liaise with other colleagues on matters relating to the running of the portfolio.
·Dealing with customer enquiries and any complaints that may arise
·Dealing with utility companies to ensure that meters are read, invoices are paid and costs are recovered
·Assisting in credit control / debt collection
·Carry out inspections on the residential portfolio within any given region on an 8 weekly basis or in line with our client management agreement.
·Responding to customer or tenant enquiries, Identifying and reporting of maintenance matters.
·Continual quality assurance reviews of housekeeping standards on estates in line with contract terms
·Monitoring of contractors performance, report unsatisfactory work and (initiate) action to remedy.
·Logging insurance claims where necessary
·Track and conclude all action required resulting from inspections.
·Report any contentious issues to the line manager without delay

·All schemes within the portfolio have a current approved budget in place
·Schemes are handed over and management fees can be taken
·Consistent high levels of services supplied to schemes. Contractors attendance consistent with contract orders
·Meeting our SLA on response times and ensuring complaints are logged and are being managed towards a conclusion
·All utilities are under contract and do not have more than 2 estimated readings in a row
·Schemes are suitably funded to meet the financial demands of services supplied and debtors are managed in line with our arrears policy.
·Undertake regular contractor / stake holder meetings to ensure contractual arrangements are being delivered to clients effectively and efficiently.
·All arrangements are robustly managed with suitable and appropriate arrangements in place to measure.

Financial Matters

·Assist and oversee Section 20 consultation process, pre-planned maintenance process by confirming action to be taken.
·To be mindful of exposing the company to any financial liability when placing / undertaking work on clients behalf.
·To report financial details to external clients at a suitable frequency.
·The company is not exposed to any financial liability through the consultation process - all costs are fully recovered through service charges
·Clients receive at least 4 financial reports at equal periods advising of expenditure and service charge fund levels and other information that may be relevant.


·Ensure that the portfolio is managed and serviced according to legislative requirements, incorporating best practice. Having full regard to the Landlord and Tenant Act
·Liaise with the Accounts department on financial matters - ensure all works are instructed and to arrange prompt payment of contractors when works are confirmed as being completed satisfactorily
·Ensure where applicable and appropriate that residents and any other stakeholders are duly consulted.
·Keep abreast of relevant legislation which affects working practices. Keep up to date with relevant legislation and advice on implications and necessary actions to ensure compliance.
·All plant and equipment are serviced as required under relevant Legislation.
·All risk assessments are in place and action taken to reduce risks where required.
·Advise on new legislation and recommended actions.

Health and Safety

·Maintain robust standards in relation to Health & Safety across all contracts.
·Ensure all team members observe and work within the Group's Health and Safety Management System and all relevant good practice guides and legislation.
·Ensure that contractors, consultants and supply chain partners have effective systems in place to monitor and manage Health and Safety on site and are in line with the Group's Policy and Procedures.
·Management of Health & Safety in line with the Group's guidance and expectations.
·Accidents and incidents are reported and maintained within acceptable limits.
·Health and Safety management is included within all specification and working documents.


·Ensuring data is entered and updated correctly on the property management system.
·To deputise for other members of the department as required.
·To assist in the preparation of various reports and when necessary attend and present the reports to Boards, Committees and Panels. To attend evening meetings with clients as and when required.
·Any other reasonable duties that may be specified from time to time by the Company.
