Job Purpose

To deliver effective client sign up working closely with the team to deliver an exceptional level of customer service. Liaising with the Head of Department to arrange the daily running of the office while being responsible for office level compliance and assisting with team management.

Key Activities

  • Deliver an exceptional customer service and client care in line with company procedures
  • Liaise with clients in a timely and professional manner
  • Ensuring effective communication and organisation within the team keeping all systems updated
  • Assist the Head of Department with all aspects of running the office
  • Arranging client sign up including completing the compliance check list and KYC checks
  • Ensuring Terms of Business are completed in full by the landlords and loaded correctly onto the system
  • Maintain electronic property files ensuring that all relevant documents and copies of client’s identification are obtained in line with the Company’s policy
  • Ordering photos, floor plans and EPCs and loading these correctly onto the system
  • Be responsible for marketing details ensuring properties appear correctly on Savills website and portals
  • Keep an up to date record and be responsible for all keys coming in and going out of the office
  • Keep an up to date knowledge of the local lettings market
  • Assisting with diary management and arranging Saturday staff
  • Keep yourself and the team updated on internal and external compliance processes
  • Arranging meetings as required
  • Assist with the daily running of the office including qualify applicants and clients, booking market appraisals professionally and registering new properties on the system
  • Comply with Company Code of Conduct and Polices and all current legislation that effect the business
  • Manage health and safety of the office


  • Ideally a minimum of 1 year in a property administrator role, but would consider candidates with a strong administrative and customer service background
  • Exceptional organisation and prioritising ability
  • Excellent attention to detail
  • Very strong communication skills both verbal and written
  • Ability to proof read documents
  • Confidence in liaising internally and externally
  • Initiative and ability to work under pressure
  • Excellent team player
  • Confident with Word, Excel and PowerPoint
  • Effective multi tasker
  • Maintains a professional manner at all times
  • Friendly, outgoing and enthusiastic to do a high quality job
  • Well presented
  • Ability to deal with difficult clients
