First 2 Recruit is working with our client in Andover who are looking to recruit a Product Data File Administrator to join their team on a full time, permanent basis. You will be working 9 - 5 pm Monday to Friday and will receive a salary of £22,500 per annum which will increase to £24,000 upon completion of your probationary period.
?You will need to be an excellent communicator who is used to working with large volumes of data and accurately maintaining it, you will also need a keen eye for detail. You must be able to work on your own initiative and get on with tasks, whilst understanding the importance of internal processes being followed. Ideally you will have a strong administration background, specifically with data input/maintenance. An advanced understanding of Excel is essential.
Basic purpose: This position ensures the Product Data records are kept up to date with the latest information and reflect accurately how a product is intended to be sold through frequent communication with Editorial, Customer Service, Marketing, Technology, Finance and the Inventory teams.
Set Up and Maintaining Records
Prepare daily product master data upload template with adds and changes to manage the set up and maintenance of accurate records
Become familiar with products from each of the business units across the regions and understand the different formats of print and digital works.
Monitoring the data using daily exception reports which highlight inaccuracies and correcting the data and/or ensuring the source is fixed.
Experience working with and manipulating large data sets
Guidance and Support
Become a subject matter expert to enable daily interactions with customer base across regions on the proper and consistent maintenance and adherence to policy.
Ensure regular liaison with other region’s product master personnel to share up to date information and changes to product data.
Display effective cross-cultural communication skills and a willingness to interact with customer base across all regions and levels.
Promptly and accurately provide responses within agreed service levels.
Compliance and Standards
Follow policy, procedures and guidance documents to maintain consistency within the product data and it’s set up.
Act as an ad hoc Product Master resource to Operations, Editorial, Marketing, Inventory and Technology, in strategising how new products should be set up within the confines of E1 and other systems.
Enforce adherence to Sarbanes-Oxley compliance and maintain approval file for audit purposes. Work with Business Units across functions and regions to resolve issues highlighted by audit control.
Testing and Training
Work with the Stakeholders, US E1 and Cognizant and IT Teams in testing and implementation of new business processes and features as they relate to the Product Master functions.
Work with the customer base across the regions to ensure new processes, procedures and initiatives are rolled out and communicated promptly, providing training and support when required.
Work on special tasks as allocated by Senior colleagues.
Be able to work independently and collaboratively with other teams and personnel at all levels.
Offer support across the whole team and when required carry
Minimum of A 'Level in English and Maths and GCSE Grade C in IT, or at least 2 years’ experience in a similar Product Data set up and maintenance administration role
Strong analytical and problem-solving abilities with keen attention to detail
Highly computer literate with Microsoft Office and Systems - Excel to an advanced level
Strong administration skills and good time management and planning skills
Strong verbal/written communication skills
Experience or ability to communicate effectively within cross cultural situations across all levels
Be able to provide and communicate clear direction and handle non-compliance in a professional and assertive manner.
General knowledge of an organisations business systems and how they interface.
Proactive, but also able to respond positively to changes in priorities.
Knowledge of report writing tools
Publishing Sector experience
Experience of testing and implementing new business processes.
