Reporting to: Policy Administration Assistant Manager and Head of Operations


  • Process all individual and group new business applications for medical, travel, life assurance, and income protection policies
  • Process all individual and group renewal business for medical, travel, life assurance, and income protection policies
  • Reconcile group scheme records on the system and monitor joiners and leavers throughout the policy year
  • Maintain and update individual member and broker records on Goldmine and Act-isure databases
  • Produce accurate policy documents
  • Collect initial premium payments and set up repeating payments from Paypoint360
  • Discuss products and plans for new and existing policies upon request
  • Respond to daily email enquiries efficiently and effectively to maintain working relationships with new and existing members, brokers and other teams within the company
  • Handle admin telephone enquiries and overflow from reception, as per HealthCare International’s customer service standards, values and expectations
  • Pro-active communication and liaison with other teams within the company, providing support as and when required
  • May be required to occasionally support management team with projects and training (new team members, product and process changes)
  • Minute taking of team meetings
  • General office administration i.e. filing and occasional reception cover
  • Ad-hoc projects or duties as and when required by line management and directors

Person Specification & Skills

  • Minimum of 2 years’ administration experience essential
  • Previous experience in the insurance industry is desirable
  • Knowledge of Word, Outlook and Excel
  • Able to work as a team member and independently
  • Great attention to detail
  • Excellent customer service and communication skills
  • Able to adapt to changes positively
  • Able to meet deadlines

Working Hours

  • HCI London office hours are Mon - Fri, 8.30am - 6.30pm
  • Policy administrators must be available to cover shifts of 8.30am - 5.30pm and 9.30am - 6.30pm
