Personal Assistant - COO

We are looking for a PA to support our COO and Business Development Director who both sit on the UK Board of Directors to be based at our office in Euston.

Key Features

Provide a comprehensive, confidential and professional business support service to the COO and Business Development Director, as well as support the efficient and successful operation of his or her team or department.

·Forward planning of Director’s workload to ensure most effective use of time and meeting of deadlines/key milestones
·Diary management : A proactive approach needed; ensuring all meetings are planned in such a way as to maximise Director’s time, taking into consideration any travel or preparation required
·Preparation of meeting papers, obtaining and preparing briefing materials and presentations in a timely manner, taking minutes when requested and following up on any action points Screen, and where appropriate, respond to emails addressed to Director
·Deal with all telephone enquiries, re-directing them where appropriate
·Make domestic and international travel arrangements for Director, members of the team and/or visitors as required. For the Director this will involve more extensive management, for example car transfers, preparing of visas, checking in of flights, typing up itineraries, etc
·Liaise with internal divisions/departments and external organisations on behalf of Director
·Managing an efficient follow up system to keep track of and advise Director of impending work deadlines for both internal and external commitments, e.g. reports, presentations, conferences, projects and ensure that team deadlines are met
·Ensure appropriate systems and processes are developed and maintained to support effective and efficient day to day running of the Director’s office
·Plan and organise hospitality arrangements for the Director and visitors
·Organising and planning of events
·Meeting and greeting guests
·Producing letters, reports, Powerpoint presentations, emails and any other documentation
·Process personal expenses on behalf of Director and their team
·Maintain holiday/sickness records for Director’s team
·Administer, chase and ensure timely payment of departmental invoices

Skills/Knowledge Required

· Professional and well organized
· Hardworking and able to work under pressure
· Previous experience as a PA/Office Manager at a senior level
· Proficient in all Microsoft Windows applications including Word, Excel, PowerPoint and Outlook
