Part Time Project Support Assistant

My client a well-regarded, award winning organisation based on the outskirts of Sudbury are looking for a Project Support Assistant to join their team on a part time basis.

This is a varied and exciting role offering progression, development and further training.

*To provide support to the Chairman in organising the delivery of management for all sites to be adopted by a third party, through the administrative processes.
*To provide support to the Chairman in the administrative processes of enabling the acquisition of land from the development process that will then be retained and managed by the associated companies.

*To administer the satisfactory maintenance of adopted residual land & property, including liaison with managing agents and trades people/subcontractors as required
*To identify maintenance tasks that need to be carried out on sites ideally by the Surveying team members in the low season and organise these to ensure suitable maintenance levels and to maximise the required number of commissions that can be given to a mutually agreeable programme
*To assist the Chairman as required with other duties such as the procurement and management of investment, assets when required;
*To assist in administering the adoption processes for JBA' clients and liaising with stakeholders (contractors, clients and other agents), ensuring open spaces are brought up to an adoptable condition before then facilitating adoption;
*Recording all tasks & requirements on a work progress spreadsheet & project managing them to successful completion.
*To record all monthly time charged and free of charge work on Union Square for invoicing purposes, recording all mileage to sites and other expenses required to progress the jobs
*To file all recorded material on paper & electronic files in chronological order using our filing system, & manage the workload, setting goals & tasks for each week & meeting realistic work targets;
*To assist in the growth and development of the associated companies through its marketing strategy and literature, website and other means as required. To prepare fliers and other literature in liaison with our graphic design consultant, in liaison with the Chairman's Executive Assistant. Keep all marketing sources updated, including CRM system.
*To set up meetings and attend client meetings and site visits expediently and in the most time effective way, grouping site visits together wherever possible, organising for and travelling independently to these having prepared for the meeting, with suitable plans and documents as needed. Minute meetings, recording findings and taking site photographs.
*Carry out all landscape management activities & tasks, facilitating contractors, re-tendering & evaluating best value, appointing & managing sub-contractors and other internal team members carrying out maintenance work as required.
*Prepare costings and research costs and present figures for appraisal and ratification by the Chairman. Liaise with clients and negotiate costings and deals accordingly. Update rates and research costs as required to keep up to date.
*Prepare property evaluations and liaise with agents and builders, trades and suppliers/ utilities to ensure assets are functioning, maintained and maximising yields.
*Receive and deal with calls from the public regarding adopted POS and manage their expectations, whilst complying with any obligations and managing any works at minimum cost to the company.
*Receive calls from the managing agent for the investment properties and manage the property needs - to ensure the properties are suitably maintained - whilst trying to keep costs under control and maximise yields.
*Carry out ad-hoc duties as instructed and required by the Chairman or Principal.

Salary will be subject to experience, in the range of £25K pro rata for 3 days per week - offering either 3 full days Wednesday, Thursday and Friday - or working reduced hours over 5 days - ie school hours

Applicants must have a full driving license and be prepared to travel alone to meetings across the country if necessary.
