Part-time Medical Administrator

A confident, engaging, compassionate Medical Administrator is required to join the support department in the clinic of the leading health care providers. The role based in the heart of the West End, will drive standards forward in this customer driven environment. You must have a clear focus on delivering a first class service as my client is all about delivering a "walk in our customers shoes" experience.

As Medical Administrator you will be ultimately responsible for all customer enquiries, including:

Appointment Administration
· Operate an efficient electronic appointment booking process for both one stop appointments and mammography screening service
· Ensure that all relevant patient information required is obtained when an appointment is made
· Liaise with patients to ensure they have all the information and services they require for their appointment
· Inform uninsured patients of the charges made by the clinic and settlement terms
· Answer questions and queries about appointments
· Build good working relationships with Consultants, NHS and Private Secretaries
· Refer patients to another clinic if disabled access is unavailable
· Manage changes to clinic lists and appointments to deal with unforeseen circumstances
· Inform patients and involved parties of changes, cancellations and starting times of clinics
2. Insurance Company Liaison
· Obtain insurance company registration details from patients with medical insurance
· Contacting insurance company to ensure that the patient is authorised to receive appropriate treatment at the clinic
· Input insurance company authorisation numbers on the patient account record
3. Account Preparation and Credit Control
· Prepare patient accounts for uninsured patients in accordance with the correct price list
· Take payment from uninsured patients before they leave the clinic
· Ensure that patient claim forms are processed and completed by the Consultant, a copy kept at the clinic and the original forwarded to the insurance company and ensure that a note of the date of sending to the insurer is made on the patients electronic record.
· Take excess payments and complete records
· Ensure that the patients electronic patient notes are updated regularly
4. General Administration
· Establish and maintain excellent communication channels with patients, visitors, clinic staff and Consultants
· Ensure that an up to date clinic appointment list is available for each days appointments
· Receiving of patients and visitors to the clinic
· Operating a central postal, fax and e-mail communications service
· Making up, sorting and filing of medical records, pre registration forms and invoices, both electronically and manually
· Prompt scanning of documents for electronic storage
· Co-ordinate diaries for staff and consulting rooms
· Provide a medical secretarial service for the Consultants who hold practising privileges at the clinic within the scope of their agreement, including typing and printing of all letters, reports and general correspondence and forwarding to patients GP and other medical specialists
· Answer general queries on referral processes from GPs and their staff
· Production of accurate reports and statistics in a timely manner
· Assist with MDM requests

The ideal candidate will need:
- Experience in a Customer Services role - Essential
- English and Math GCSE or equivalent - Essential
- Customer focused with customer service training - Essential
- Experience with MS Office applications - Essential
- Ability to accommodate customer requests - Essential
- Experience working in a health care environment - Desirable
- Knowledge of medical terminology - Desirable
