Salary - 18 - 21k (Pro Rata)
General Secretarial Duties:
Proactive and efficient diary management, to include the organisation of internal and client meetings, Skype meetings and events.
Submission of all expenses for your Legal Advisers.
Utilisation of our resource teams i.e. centralised Document Production, Print Room and Administration teams.
Proficient in audio typing of all correspondence, lengthy documents, reports, letters, minutes and pitch presentations.
Maintaining the agreed E-filing structure for your Legal Advisers as well as successfully maintaining your own email account.
Effective financial housekeeping, promptly dealing with any queries and managing monies in/out of the business.
Timely client billing, taking a confident approach to complex non-standard client billing and adapting our reporting to the needs of our client.
Dealing with emails, voicemails and queries when your Legal Adviser is out of the office, also recording time on their behalf where appropriate.
Accurately ensure that client reporting is dealt with in a timely fashion and that it is delivered to them in the format they have requested.
Skills and experience:
Experience of managing the expectations of at least four or five busy Legal Advisers is essential offering solutions not problems to Lawyers at all levels.
Able to deal with client billing, with a keen eye for detail and a proactive approach to finance queries.
Highly motivated and able to stay calm under pressure.
Takes a positive and 'can do' approach.
Key strength in prioritisation, with the ability to decide what is urgent, what can be sent to a resource team and what can wait until later in the day.
Demonstrates flexibility and ability to use own initiative.
