Part Time Information Controller/Quality Manager

Our client based South West of Maidstone is looking to recruit a Part Time Information Controller/Quality Manager to join their team; the role will be for three days a week Tuesday, Wednesday and Thursday. The successful applicant will have a secretarial background, construction site knowledge and the ability to deal with site managers would be an advantage. The role will involve minute taking and typing reports for meetings and the use of Sage to input invoices.

The main duties of the role will be split as follows;

Information Controller
• Telephone/Log
• Drawings - Maintain drawing log, printing off for site or supplying to Site Managers as necessary
• Maintain project folders as needed
• Price checking - Carry out price checking before passing to Procurement Manager
• Weekly Labour Sheets - Completing spreadsheets and logging onto Sage
• Chasing site managers for plant, labour, diesel sheets
• Maintain/file purchase orders to attach to invoices when price checking
• Ensure all plant, equipment, company vehicles have current service certificates, MOT and Calibration documentation, arrange for site visits to carry out servicing or for items to be taken to service centre.
• Supply service/calibration documentation for plant and equipment to Site Managers
• Update planning workbook to keep log of all company plant/equipment and which site it is currently on
• Order diesel and call out Pirtek for repairs when needed
• Maintain company files and filing as needed
• General admin, letter typing, scanning, post etc
• Take meeting minutes and distribute for Management Review Meetings
• File all delivery tickets by month
• Company vehicle fuel sheets - Input and monitor company fuel/mileage usage
• Complete Site Completion Forms for projects once finished
• Input all incoming invoices and credits onto Sage under the relevant project

Quality Manager
• Maintain Quality Planning Workbook and all records within it
• Plan, carry out and report a quality audits each month
• Maintain the company quality system both in the office and on site = up date planning workbook
• Carry out site visits to ensure systems and paperwork are in place
• Carry out Change Request Procedure when any changes to documents or templates are needed and complete register accordingly
• Report on NCR’s and carry out procedure in keeping with the quality system
• Follow up NCR reports with non conformities and corrective actions
• Update company quality procedures in accordance with the Quality System
• Manage annual Quality Audits carried out by BSI
• Monitor company procedures and record/document control to ensure we are complying with BSI QM standards
• Arrange and head Management Review Meetings to report on Quality Management System
• Send customer feedback questionnaires to clients once projects have been completed, monitor and feedback to top level management
• Implement KPI’s and Company Objectives and establish ways of measuring them
• Collate KPI/Objectives information and statistics before each Management Review Meeting in order to discuss and review.
