The role performs a key function in securing the efficient operation of this eight fee-earner professional firm. The firm is organised so that fee earners are freed from time spent on non-fee producing tasks. This extends across the whole of the professional staff from the MD downwards. The post holder, therefore, needs to be self-motivated, responsive to the needs of a small but successful, fee-earning professional firm and proactive in identifying potential efficiencies and managing their implementation.

The post holder will, therefore, contribute significantly to the smooth running of the firm and liaise, as necessary, with external accountants and lawyers. The post holder would report directly to the firm’s MD but in collaboration with other Directors via a monthly Management Meeting. The post holder will have access to the firm’s external accountant who will provide support and direction as needed.

The position involves a key financial/accountancy role and important subsidiary roles. The primary role relates to the inputting and management of routine accounts information, some management accountancy work, VAT and payroll. The subsidiary roles relate to a variety of management/administrative tasks including some facilities management.

With regard to accounting issues, the role extends across all components of a bookkeeping service for a circa £1.0m turnover professional firm. This includes, maintaining purchase and sales ledgers, ensuring that purchases are properly authorised, paying creditors, planning payments to enhance cash flow, managing schedules of total monthly fee time, work in progress and projected future income, preparing sales invoices in consultation with professional staff, issuing monthly statements, preparing debtors lists and dealing with debt recovery (as necessary), preparation of monthly cash flow statements, financial projections and annual budgets and monitoring progress against budget. The role includes managing the payment of monthly salaries and associated PAYE and NI payments and drafting and submitting VAT returns.

The subsidiary tasks relate to the smooth operation of the firm in terms of setting agendas for Monthly Management meetings in consultation with the MD, reporting on relevant financial and other issues and taking minutes, sourcing office and IT equipment, attending monthly management meetings creating agendas and distributing minutes, the management of office cleaning contractors, the management of necessary repairs and decoration of the premises, dealing with insurance renewals (including for premises, equipment and professional indemnity), management of BUPA membership and subscriptions, season ticket loans, pension contributions, company AMEX cards and mobile phones, and such other matters as is necessary to ensure the smooth operation of the firm.
