PA to Sales & Marketing Manager 1 year contract

Exciting opportunity to join a prestigious financial services company who are seeking a proactive PA who has experience of working within a busy sales environment at senior level. The successful candidate will provide professional support to the Head of Sales and Marketing UK and to the Business Development team & build excellent working relationships with new and existing clients.

Key Responsibilities:

*Provide flexible support and assistance to the Head of Sales and Marketing UK and the Business Development team focusing on key deadlines, workloads and processes ensuring the general administration of the Sales function is dealt with efficiently
*Arrange internal meetings, co-ordinate and manage diaries, and travel itineraries where appropriate
*Administer the travel and accommodation arrangements ensuring that such arrangements are in line with company policies and procedures
*Manage monthly business and personal expenditure for Head of Sales and Marketing UK arising from travel, client and staff entertainment, keeping up-to-date records on file and with finance and accounts
*Model and promote the company values in all aspects of your daily work (Integrity, Commitment, Teamwork, Service and Leadership)
*Collate and prepare regular sales reports
*Act as a point of contact for the sales team, responding professionally and effectively with telephone, email and mail enquiries from clients, and where appropriate liaising with other departments, ensuring any resulting queries are managed in a timely and customer focused manner
*Assist in maintaining and developing the CRM system ensuring the information is accurate and up to date
*Develop and maintain excellent working relationships with clients
*Organise and, if required, attend client, sales and networking events
*Support the preparation of Tender and Proposals documentation through effective use of IT skills to create reports and spreadsheets etc using Microsoft Office suite
*Provide cover for PA to the Executive Board during any absences e.g. holidays, sickness. This involves providing secretarial/administrative support to the Exec team including collating documents, presentations, preparing correspondence, and arranging meetings and agendas, ensuring all work undertaken is of a high quality and to agreed timescales
*Manage and record filing for all business documentation including general papers, presentations, business plans and personnel information
*Maintain the holiday/attendance records for the Head of Sales and Marketing UK direct reports in liaison with Human Resources
*Undertake ad-hoc work, research or projects as required by your manager
*Work within prescribed objectives and procedures ensuring that all requirements of company guidelines, service, regulatory and technical standards are met
*Role will involve some travel to our London office and may involve travel to events within the UK

Personal Qualities:

*Previous PA/sales support experience ideally within financial services sector
*Ability to think ahead and anticipate needs before they arise
*Excellent organisational skills with ability to organise own time and prioritise workload often within tight timescales whilst still maintaining a high attention to detail
*Ability to develop and maintain strong working relationships
*Excellent telephone manner
*Outstanding interpersonal skills
*Competent in using Microsoft Office suite i.e. Word, Excel, PowerPoint and Outlook
*Takes personal responsibility for actions and decisions and takes initiative to make things happen
*Develops positive relationships with internal and external customers
*Builds rapport with colleagues, contributing to the effectiveness of the team
*Demonstrates a flexible, adaptable approach and always rises to new challenges
*Excellent communication skills with the ability to liaise at all levels
*Confident and able to work on own initiative, with limited supervision
*Good analytical skills
*Can express facts/ideas clearly and concisely both verbally and in writing
*Displays a can-do attitude and remains positive despite obstacles in the face of disappointment, frustration and when under pressure
*Demonstrates a flexible, adaptable approach and always rises to new challenges
*Questions the way we operate and helps department to work smarter not just harder
*Behaves and looks professional at all times paying particular attention to attendance, punctuality and dress code
*Is aware of personal development needs and raises issues with manager to help improve effectiveness. Takes on board comments about development needs and is always willing to learn
