PA to Director/ Office Manager FTC

PA to the Director:

- Providing full administrative support to the Director, including personal admin support
- Diary Management, emails, contact list
- Booking and management of all travel Itineraries including flights, taxis,
accommodation, conferences and restaurants work and private.
- Organizing networking events hosted by Director
- Expenses, iPad, mileage

Office Management:

- Act as front of house: greeting guests in a positive and enthusiastic manner, showing
them where to wait and offering them tea and coffee. Preparing and clearing the
meeting rooms. Liaising with clients and client representatives in a pleasant and
professional manner.
- Answering the phone: High level phone manners and ensuring messages are passed
onto the team.
- Signing for deliveries
- Making sure the office is tidy and presentable. Prompt team to keep up tidiness, wash
dishes and clear their desks.
- Maintaining & ordering office supplies such as stationery, water etc.
- Ensuring all IT runs smoothly and liaising with IT support
- Booking and managing meeting room(s)
- Organizing services such as cleaning, building maintenance etc.
- Managing company insurances and security
- Checking stock and ordering of office supplies

HR Admin support:
- Implementing new HR templates
- Checking team time-keeping
- Organizing starter-packs for new staff
- Induction of new staff
- Assisting with holiday requests, timesheets, time in lieu, sick days
- Advertising job vacancies, liaising with recruiter and organizing interviews

Admin support to team:
- Typing up minutes
- Development and management of office budgets for Finance Manager
- Assisting with and binding presentations
- Packing samples for external meetings
- Organizing team taxis, transport, oyster cards and travel
- Ordering couriers
- Filing and managing archiving
- Managing the senior team's diaries
- Daily post-runs: opening, date stamping and timely issuing of post, pricing and
stamping all outgoing mail and posting
- Responsible for collecting VAT expense receipts for both your expense, petty cash
and office expenses

- Proactive self-starter: works on own initiative
