PA/Team Assistant - Charity Sector

A charitable organisation based in Fulham, West London is looking for a Department and Committee Assistant to join their team. You will be providing administrative support to the General Secretary and Central Secretariat department as well as to assist the Department and Committee Officer in servicing the Membership Development Committee. You MUST have experience of supporting a Senior Manager or Head of Department and experience of having worked for a charity or public sector organisation is desirable.

Core Key Responsibilities:

  • Managing the General Secretary's diary
  • Arranging travel and accommodation as necessary
  • Arranging the meetings
  • Preparing appropriate papers for the General Secretary for meetings and visits
  • Providing project support to the General Secretary, including preparation of reports
  • Preparing the Board of Trustees papers for the General Secretary
  • Taking relevant notes at meetings
  • Overseeing the committee Plans of Work, budget and reports to the Board
  • Planning, designing, producing and overseeing the distribution of items required for membership promotion
  • To deal with any correspondence and telephone queries in a professional manner
  • To provide cover for the Department and Committee Officer on their non-working days
  • To provide adequate telephone cover at all times through liaison with other staff
  • To implement the Archiving policy, in collaboration with the relevant staff
  • To maintain the Central Secretariat departmental filing including current and archived files

Skills and Experience:

  • Relevant experience within an administrative role
  • Previous experience of supporting a Senior Manager or Head of Department
  • Experience of handling confidential information
  • Experience of taking notes at meetings
  • Excellent letter writing skills (will be tested at interview)
  • Excellent attention to detail with specific emphasis on grammar, proofing and correction (will be tested at interview)
  • Intermediate level in Word, Excel, PowerPoint and Outlook
  • Diary management using Outlook
  • Excellent time management and organisational skills and ability to prioritise a wide variety of work
  • A methodical and organised approach to their workload
  • Ability to research and analyse a range of information
  • Ability to handle a varied workload from the more routine repetitive tasks, to the challenges of more complex issues

Desirable

  • Experience of having worked for a charity, or public sector organisation
  • Minute taking experience at meetings of 10 people or more
  • Experience of having worked with a Board of Trustees
  • Involvement in the coordination of projects
  • Experience of having used databases, Adobe Photoshop and/or InDesign, a Moodle or Content Management System
