JOB ROLE: PA/Team Administrator

JOB TYPE: Temporary

DURATION: 1 Month

SALARY: £20.80 per hour

START DATE: ASAP

HOURS: 09:00-17:00 3-4 days per week

LOCATION: Liverpool St

DUTIES INCLUDE BUT ARE NOT EXCLUSIVE TO:

  • Organise all travel arrangements and expense claims on behalf of London-based team members
  • Co-ordinate or assist with itineraries, travel and accommodation of members of the Legal team visiting from offices
  • Co-ordinate training, functions and conferences on behalf of the Legal team
  • Oversee the Legal team's absence and sick leave calendars
  • Manage and update legal practising certificates for London-based team members
  • Manage access to legal databases and legal subscriptions
  • Assist with the preparation of relevant documentation, e.g. agendas, memos, presentations, reports or emails as appropriate
  • Manage the profile of the Legal team with external third party organisations and professional networks, including producing bios for conferences, lectures, legal papers or briefings
  • Establish and maintain strong, effective, strategic and appropriate working relationships within the Legal team and with external parties
  • Maintain filing systems
  • Assist with co-ordinating Legal team activity by organising diary appointments / meeting rooms / audio and video conferencing arrangements, and by circulating papers and following up on actions, as required
  • Collect and open mail, and distribute as appropriate
  • Provide other general administration support as required by the Legal team
  • Maintain an up to date IT asset register, provide assistance and support in managing IT support requests and related IT purchases

SKILLS, EXPERIENCE AND ATTRIBUTES REQUIRED:

  • Experience working in a demanding team assistant position
  • High level of professionalism and attention to detail
  • Law backgrounds is beneficial
  • Able to use own initiative and being able to manage workload of the team
  • Able prioritise and meet deadlines
  • Flexibility to beyond the description of the role
  • A team player, and able to work as an integral part of the team
  • Willing to assist others
  • Happy to work outside normal hours if required
  • Proficient use of MS Office packages (Word, Excel, PowerPoint and Outlook)
  • Exceptional communication and interpersonal skills at all levels (internal and external, written and verbal)
  • Able to demonstrate appreciation for confidential matters and able to be discrete
