Temporary PA role in Bristol city centre to start asap

We have got an exciting opportunity involving a new Government investment Project.

Due to this we are looking to recruit Personal Assistants to support an Investment Team including Chief investment officer and 10 investment managers.

The role offers up to £30k salary..
Full time Monday to Friday 37h/week

Main Duties:

Successful candidate will provide secretarial and support services, primarily to the Chief Investment Officer and members of the team.

Ideally we are looking for somebody with proven experience of supporting senior management members as well as providing administrative support to wider teams.

The successful candidate will have to demonstrate good knowledge and understanding in investment terminology and ideally would have worked in investment environment.

Duties as part of the Team:

Maintain the skills, knowledge and expertise to effectively and compliantly execute the relevant allocated duties. Deliver directly, or indirectly, with colleagues, excellent service to its Clients.

Actively support diversity programme, both internally and externally, along with all other corporate policy initiatives.

Duties specific to the Secretariat and PA team:
Provide secretarial services to the Executive Team, including preparation of letters, reports and emails.
Provide support services to the Directors including diary management, message management, travel and accommodation bookings and organisation of conference calls and online meetings.

To the extent that time permits, provide secretarial and support services to other members of the Senior Management Team.

Provide support in the smooth running of the office on a day to day basis, with a hands on practical approach, based on a sound understanding of the front of house and back of house activities, working to ensure that all services operate effectively.

This will include acting as a receptionist when required Establish good working relationships with staff, clients and other third parties.

Communicate professionally and with confidence both internally and externally.
Be proficient in internal services, e.g. room bookings, expenses system, post and visitor welcome procedure.

Provide secretariat and support services to Committees, including: Arrange meetings including, liaising with attendees both internal and external as required and any external suppliers (e.g. caterers), Collate and prepare papers and send to attendees in advance, chasing and managing people responsible as required, Take notes and circulate minutes in good order. Appropriate record management / filing of Committee documentation. Prepare public documents for website.

Skills and experience:
Proven previous experience in a personal assistant role.
Experience of working in financial investments environment.
Demonstrable ability to support busy individuals with complex and constantly changing calendars and requirements.

An adaptable, flexible and proactive approach, with common sense and proven teamwork skills and the ability to work under pressure.

Strong listening, organisational and planning skills, and the ability to impart information in a clear concise and easily understood way.

High proficiency in PowerPoint, Word and Excel.
Professional minute taking experience Strong inter-personal skills, including discretion, diplomacy and patience.
