Operations Co-ordinator

The Operations Co-ordinator works as part of the Yeovil Operations team. The team is responsible for the successful booking, operation and management of international tours for student, performing and religious groups originating from the US and UK, ensuring all services meet WorldStrides’ quality and cost standards.

The Operations Co-ordinator position will have the following areas of responsibilities:

Pre Departure

  • Work directly with the WorldStrides contracting team to assist with vendor selection and service rate negotiation for customised, catalogue, special events and other division programs
  • Work closely with our London sales team to understand and effectively put together itineraries that meets our client’s requirements.
  • Collect and analyse on tour evaluation client feedback for applicable services
  • Make reservations/confirm services with appropriate WorldStrides vendors
  • Update WorldStrides databases with appropriate reservation information
  • Work closely with the WorldStrides Client Services and other Operations departments to ensure all special tour requests and client needs are met
  • Maintain deadlines and assist with producing department specific reports

On Tour

  • Assist with on-the-ground management of our customised, catalogue, other divisions and special events programs to include monitoring service feedback, re-confirming services, adjusting service times and dealing with last minute issues and changes
  • Work closely with Tour Directors, Regional Operations Managers and other WorldStrides team members assisting with on-tour program adjustments
  • On-call duty on a rotation with other staff members during busy travel periods

Post Tour

  • Review supplier final and deposit invoices for accuracy and processing within WorldStrides’ databases, working closely with our Finance team
  • Assist with season-ending financial and evaluation reporting

Other Duties and Responsibilities:

  • Travel to key European cities as needed to build relationships with vendors and inspect product as needed
  • Follow legal compliance standards for all transportation services
  • Inspect product as needed following School Travel Forum requirements
  • Be on the emergency phone rotation
  • General office duties such as answering the telephone, filing, etc as needed

All positions will require a DBS clearance
