The following role has become available at our Luton base;Operations Administration Assistant
Initially 24 hours per week / 3 days however would increase to full time in the future
Reporting into the Operations Administration Supervisor, working alongside another Operations Administration Assistant, you will be responsible for delivering a high standard of Administration support to the FBO.
Duties include, but are not limited to;
Provide a very high standard of service to all Departments within Harrods Aviation; ensure that confidentiality is maintained when necessary, which includes minute / note taking at management request
Enter all aircraft parking movements onto the Fusion system and Abaas ensuring errors are rectified and through checks are carried out. Following up all queries form LLA and the Finance Department.
Check and process the Fusion 713 report before 10am daily. Ensure that all discrepancies are followed up.
Order all Stationery for the FBO ,carry out weekly stock checks
Liaise with STN regarding stock levels of printed stationery
Bank any cash received by the FBO from customers, ensuring the correct security measures are taken and STN are sent copies of the paying in slips.
Maintain the dry stores department, carrying out weekly stock takes and placing orders with suppliers.
Monitor and maintain the archiving procedure, liaising with the Finance Department and other departments at the FBO when required.
Book Courier services as and when required.
Restock the Harrods merchandise in the departure lounge and crew lounge, informing STN when stock is running low.
Other Adhoc duties requested by the Operations Administration Supervisor or Management Team.
HOURS OF WORK
Initially part time, 24 hours per week, 3 days per week (which must include Monday, other days can be negotiable for the right candidate. Normal office working hours are 09.00 - 17.30 with a 30 minute unpaid lunch break.

You are expected to work flexibly to meet the needs of the business and work demand.
This role also requires occasional travel between Harrods Aviation locations.
THE SUCCESSFUL CANDIDATE
The successful candidate for this role shall demonstrate good communication skills, have experience of maintaining precise and effective recording systems and have a good working knowledge of MS Word. You should have a good standard of English grammar and punctuation.
Applicants must be IT proficient, with excellent written and oral communication skills. Good interpersonal skills are also required to work within a small, friendly team whilst also having the ability to work autonomously.
