Operations Administration Assistant (Japanese Speaking)

The Company

Our client is an established and successful company based in Tyne and Wear. They are currently looking for a Japanese speaking Operations Administration Assistant to join the team on a permanent contract. If you have the relevant experience and looking for a new challenging role please apply.

The Role

  • Deal with incoming calls in a polite, cheerful and respectful manner
  • Ensure all incoming and outgoing post is dealt with quickly and efficiently
  • Ensure all invoices are cleared and reconciled before end of month posting
  • Filing systems are to be maintained and continually improved
  • Control safety stock for stationary
  • Support QC department to complete ISO requirement
  • Keep record of holiday and sickness leave
  • Control and keep record of company petty cash and report to operations manager
  • Support Office Manager by dealing with maintenance of the office building and equipment
  • Support Sales department’s administrative tasks
  • Other administrative duties as requested by management
  • Receive orders from customers and create shipping lists
  • Communicate with customers to deal with their daily requirement regarding their orders and deliveries
  • Liaise with warehouse department to ensure the deliveries are arranged and made to meet with the customers’ requirement
  • Monitor the daily stock level to ensure the sufficient stock level to meet customers’ demand and report to operations manager for any problems in timely manner
  • Create the sales invoices, get Sales managers authorisation and send them to customers’ account department on time
  • Send statement to customers and ensure the payments are completed in time.
  • Communicate with Swindon’s operation team to arrange stock transfers
  • Support Operations department by carrying out weekly stock take and report to the manager and reconcile the discrepancies if necessary
  • Support Operations Stock Take activity twice a year by creating stock take sheet, data imputing and supporting reconciliation activity after the stock take
  • Create RFQs to suppliers in the UK, EU & Far East and make sure we receive the response by deadline.
  • Deal with suppliers in Japanese on a daily basis
  • Translate documents and emails in Japanese to English & English to Japanese.
  • Other operations duties as requested by management

The Person

  • Fluent in English and Japanese to business level
  • Highly numerate
  • Excellent communication skills with polite, cheerful and respectful manner
  • Office environment working experience
  • Drive to learn new skills and knowledge with a flexible and adaptable attitude
  • Ability to complete tasks and jobs with great sense of responsibility
  • Ability to work as a team by following company rules and procedures
  • Ability to pay attention to details and work with accuracy, and good time keeping is essential
  • Intermediate user level for Microsoft Excel, Word, Outlook, Access
  • Academic qualifications
