1.Job Title: Office Manager

2. Reporting Relationship

Reports to: Managing Director

Direct Reports: None

3. Main Purpose of Role

To manage the company’s office management functions, ensuring compliance within the prescribed framework to maximise business efficiency and profitability. To oversee, implement and develop efficient administration processes associated with maintaining quality standards and franchisee compliance.

4. Key Accountabilities of Role

Accountabilities and Duties

  • Franchisee Compliance

o Produce and maintain accurate Franchisee records

o Produce regular accurate reports to include:

  • Monthly sales report
  • Support records
  • Portal compliance

o Ensure all necessary documentation is supplied when required

  • Compliance Audits and reports
  • General Head Office Administration
  • Facilities Management
  • Managing compliance to ISO9001
  • Purchasing and stock acquisition, including travel and accommodation.
  • ISO compliance via audit
  • Office environment to the required standard with cost effective support/contracts in place
  • Onboarding new franchisees:

o Compliance declaration

o Set up user log ins, database access, email address

o New franchisee launch pack

o Insurance

o Internal audit

  • Franchisee Recruitment:

o Ensure Capsule CRM is being updated correctly

o Manage logistics for external exhibitions and events

o Co-ordinate logistics for HQ discovery day meetings

5. Essential Skills and Competencies Required

  • Previous experience in a similar role
  • Confident communicator with exceptional organisational skills
  • Excellent IT and MS Office skills
  • Strong negotiation skills
  • Business and commercial acumen
  • Strong analytical skills
  • Implementation and result driven
  • Client/Franchisee focused
  • Self motivated
  • Ability to communicate and deliver at all levels

A confident professional, with excellent analytical, and communication skills, both written and verbal. Who will in addition will be able to prioritise and manage conflicting demands effectively, whilst retaining meticulous attention to detail.

6. Preferred Experience Required

  • Experience of working with Franchisees in a similar role
