Office & Facilities Assistant

What does the job entail?

To provide support to Office Services Administrators for all areas of administration and facilities services.

Duties & Responsibilities:

  • Answering calls and transferring them call to relevant departments, taking messages or opening queries in Equinox if necessary. All calls to be answered in a professional manner.

  • Promoting our products and services.

  • Scanning and logging of all customer correspondence and required documents.

  • Distribution of post throughout the business and logging of goods inwards.

  • Ensuring outbound post is collected nightly

  • Ensuring Office Administration and Facilities support is available throughout core hours via Reception and Service Desk

  • Dealing with all general day to day reception including meeting rooms, catering, stationary, deliveries, visitors, suppliers etc.

  • Use of internal service desk software to track and manage all requests from the business

  • To support all functionality and responsibilities in both Office and Facilities areas as directed by the Facilities and Office Manager.

  • Any other duties as defined by management

Skills & Experience:

  • Proven experience of day to day office based operations

  • Have a professional manner and appearance

  • Excellent communication and interpersonal skills at all levels

  • Ability to work on own initiative and without supervision

  • Professional telephone manner

  • Ability to prioritise work under pressure and set targets

  • Educated to GCSE level

  • Good understanding of all Microsoft packages including Word and Excel

  • Flexibility towards working hours as job demands

  • Conscientious manner towards all tasks required
