Job Title: Office Administrator
Hours: 3 Days/week - 5 hours
Location: Unit 3, Chalgrove, OX447RW.
Supporting the management of the office administration for the White Rabbit Pizza Company, liaising with the Office Manager, the Directors of the business and the outsourced accounting team.
List of Tasks / Duties:
- Processing sales orders
- Generating sales invoices on Xero, in accordance with sales orders, ensuring that the invoice date, quantities and prices are all correct.
- Sending invoices to customers or entering them on customer portals where appropriate, again ensuring that the invoice date, quantities and prices are all correct.
- Ensuring credit notes are raised on Xero for any goods damaged in transit
- Ensuring credit notes are raised on Xero for rebates, liaising with the Sales Director
- Liaising with customers on any order/invoice queries and ensuring invoices are paid on a timely basis
- Providing cover for the Office Manager during periods of absence
- Ensuring all the office filing is up to date and archived when required
Working with a busy team in a pressured but friendly environment. Improving business practices/procedures.
Using Excel and Word essential.
The successful candidate must be bright and numerate, highly organised, have the ability to prioritise workload and meet deadlines and have strong communications / inter personal skills.
