Office Administrator/Personal Assistant/PA - London - £25,000 - £28,000

Our client, a Data Management Solutions firm based Central London, are seeking an Office Administrator/Personal Assistant to join their team on a permanent full-time basis.

The successful candidate will support 1 MD and 1 VP as well as carrying out daily administrator duties. This is a demanding role and requires a strong-willed person who is able to work under pressure, and communicate effectively with clients and leadership at the most senior level.

Role:

  • Provide support to the MD & VP
  • Proactive diary management, including workload / conflicts and adherence to deadlines
  • Monitor and manage email, escalate, forward and respond as appropriate
  • Support and be supported by a team of PAs, providing occasional cover for holiday and sickness
  • Deal with frequent queries from staff
  • Book travel and arrange all associated documents and arrangements
  • Manages reception area and looks after visitors
  • Answers phone calls and transfers them as necessary
  • Drafts, formats, and prints relevant documents
  • Maintains stock lists and orders office supplies as needed
  • Manages staff expense requests

Skills/Knowledge Required:

  • A proven track record as a PA supporting senior level within a pressured and fast-paced environment.
  • Excellent interpersonal skills
  • Ability to quickly form professional relationships with colleagues
  • Highly organised
  • Ability to prioritise and co-ordinate tasks efficiently ensuring all deadlines are met
  • Maintain a positive attitude towards routine tasks
  • Exceptional attention to detail
  • Proactive and positive attitude with a calm and methodical approach to work
  • Ability to work autonomously as well as part of a wider team
  • Confident and assertive
  • Sociable and outgoing
  • Flexible approach to work
  • Understands and appreciates the importance of discretion
  • Excellent communication skills, both verbal and written
  • Intermediate knowledge of Microsoft Office (In particular Word and Excel)
  • Have an interest in technology
