Office Administrator (Domiciliary Care)

Exclusive Care Services are looking to take on an enthusiastic Office & Payroll Administrator to work in our Dartford office and oversees other satellite branches.

This role will be suited to a candidate with a background in health and social care.
Administration and payroll experience is essential

Key Tasks

o Manage and monitor service user invoice queries and complaints; overseen by the branch Manager and / or Deputy

o Scheduling meetings, supervisions, appraisals and appointments and taking minutes of all meetings.
o Support with care worker payroll, attending to payroll queries and liaising with the company accountants
o Manage and monitor the call logging system Electronic Monitoring System (EMS); addressing areas of non-compliance by staff members
o Set up new Carers/Clients on the ECM system including issuing PIN numbers

o Monitor carers login/out as required per visit and ensure report is written timely
o Communicate with service users and their representatives if their scheduled care and support is running behind the allocated time
o The manual confirming of time sheets
o Updating and ensuring all clients and employees case file are up-to-date
o Assisting the branch recruiter with care worker interviews and administration support

o Monitoring and liaising with the company HR consultants in dealing with any employees queries

o Monitoring and updating company training matrix and ensure all employees training and in date.

o Responsible for booking trainings and advising carers when their training is due.

Any other such duties as may be from time to time required to ensure the safe running of the services and delivery of appropriate care to service users.
