Office Admin/Team Assistant/PA

We are looking to recruit an individual who will be responsible for the day-to-day running of the office and provide high-level administrative and organisational support to 3 senior partners.

Key duties and responsibilities:

Managing the office and administrative work

  • Act as main point of contact with serviced office provider
  • Liaising with reception to book meeting rooms and catering
  • Set-up of meeting rooms with help from facilities assistant (lunch required on occasion)
  • Undertake basic accounting tasks such as creating and sending invoices to clients
  • Liaising with accountants for monthly payroll/pension payments
  • Managing Company bank account and Xero account, ensuring all invoices are paid on time
  • Submitting quarterly FCA regulatory documents
  • Dealing with supplier relationships and maintaining contracts
  • Updating website with new press releases/client wins
  • Ordering stationary/equipment for the office when required
  • Maintaining holiday planner for team

PA/Team assistant

  • Manage and maintain diaries for 3 partners including updating the team calendar as necessary (Outlook)
  • Collating and processing team expenses monthly (Excel/Xero)
  • Reminding team of important tasks to complete
  • Provide support for booking travel, hotels and taxis for team and clients when required
  • Screening calls and taking messages as appropriate
  • Assist with the weekly marketing meetings and maintaining a marketing schedule (Word)
  • Creating, formatting and amending word documents/powerpoint presentations/excel spreadsheets
  • Maintaining CRM database (Salesforce) - creating campaigns/editing contact details where appropriate/adding new contacts when required
  • Organising Board papers and recording minutes from Board meetings (Word)
  • Downloading and saving call recordings monthly
  • Arranging and organising events (internal and external)

Person Specification

  • PA/secretarial experience, within the financial industry, preferably equity capital markets (2+ years)
  • Good computer literacy (Outlook, MS Word, MS Excel, MS PowerPoint, Salesforce, Xero)
  • Strong IT skills
  • Excellent organisational skills
  • Good communication skills, both verbal and written
  • Professional telephone manner
  • Discretion and trustworthiness: you will often be party to confidential information
  • The ability to be proactive and take the initiative
  • Well presented
  • Flexible and mature approach with the ability to work unsupervised
  • Fluent verbal and written English

Location: London, Monument Tube or Bank Tube

Contract: Full time, Permanent

Reporting to: Managing Partner

Hours: Monday to Friday, 08:30am - 17:30pm
