MSc Administrator - £14.72ph plus Hol Pay - Central London

Start 12th February 2018 - must be available until the end of April 2018

We are currently recruiting for an experienced MSc Administrator to fill a very central role based within a leading Central London University. Strong Excel skills are required - testing will take place at interview stage.


MSc Student AdministrationRecruitment and Admissions

  • Provides comprehensive administrative support for the Admissions Tutors, generates all correspondence relating to admissions, deals with applicants’ queries and processes application forms.

  • Makes basic admissions decisions based on advice from Admissions Tutors. It is noted that all admissions decisions for the MSc in Mathematical Modelling are made by academic staff.

  • Liaises with relevant offices, particularly the Graduate School, Admissions Office, International Office and Student Records Office.

  • Organises recruitment initiatives, assists with the production of publicity material and arranges advertising.

  • Act as Department Liaison for MSc students with disabilities.

Registration and Induction

  • The Administrator is responsible for specific aspects of registering the students on the programmes within this post’s remit.

  • Organising induction events

  • Preparing induction material

  • Briefing students on arrival

  • Ensuring they complete all administrative processes associated with registering in the department.

Student records, monitoring and progression

  • The Administrator supports the Programme Directors and tutors in the administration of student matters after admission, and is responsible for maintaining records.

  • The Administrator is also responsible for dealing with enquiries; providing advice or forwarding queries onwards as appropriate.

Programme timetabling, information and documents

  • The Administrator assists with timetabling and writing and updating programme documentation, for example keeping the MSc web pages up-to-date and adding new material where necessary.

Examinations Administration

  • The Administrator supports assessment and examinations processes and meeting Registry deadlines for the submission of exam papers and all exam related data.

  • Preparing agendas, reports and papers for the Boards of Examiners

  • Minuting meetings

  • Ensuring that marks and results are entered into the student information system and liaising with Registry over examination-related matters.

MSc Projects

  • The Administrator helps the MSc Tutors to arrange the MSc projects and coordinates project submission. This also includes assisting the MSc Tutor with the arrangements of the project presentations, room booking, refreshments and leaver’s lunch.

Organisation of student workshops and other events

  • The Administrator makes arrangements for workshops, meetings, seminars and other events relating to the programmes.

Programme Statistics

  • The Administrator is responsible for preparing statistics, e.g. for funding bodies, external audits and for departmental planning purposes using both current and archived material.



  • Previous significant relevant experience as an administrator which would enable the post holder to carry out the duties of this post.

  • Proven experience of using IT successfully, and to a high level of complexity, such as experience of online systems/databases and experience of creating, managing and maintaining databases.

  • Experience of organising and servicing committees including taking minutes.

  • Administrative work within the Higher Education sector, or similar.

Skills and/or Abilities

  • High level of proficiency with standard office software such as MS Office, Word, Excel (using macros and formulae to a high level) Access, etc, and must include databases, spreadsheets, word processing, Electronic file management, e-mail and e-calendars.

  • Ability to use web publishing software to produce documents for the web.

  • Able to adapt to new software and systems quickly.

  • Ability to extract, collate and present information in complex report form to produce various examination reports.

  • Good numeracy skills, demonstrated, for example, by having GCSE higher level Mathematics or equivalent.

  • Strong organisational skills using methodical approaches and paying close attention to detail, essential in examination processes.

  • Clear verbal and written communication skills (including accurate grammar, spelling and punctuation).

  • Proven ability to work effectively under pressure, using initiative to manage workload and prioritise tasks effectively to meet deadlines, using excellent time management skills.

  • Good interpersonal skills and the ability to liaise with a variety of people, including the ability to relate to staff and students in a teaching and learning context.

  • Ability to work collaboratively as a team and independently.

  • Ability to motivate self and others.

  • Commitment to high quality customer service provision.

  • To have a high regard for confidentiality at all times.

  • Must be able to liaise with and take direction from line manager.
