Key Responsibilities:

  • Register learners onto their correct qualification with Awarding Organisations
  • Booking learner Functional skills tests
  • Make sure the traineeship and apprenticeship tracking sheets are up to date
  • Claim ACE certificates
  • Compile and send start and completion paperwork to the correct funding partner
  • Track review and assessment plans on relevant tracking sheets

General Responsibilities:

  • Taking minutes of staff meetings and ensuring actions are completed within specified timescales
  • Monitoring of learner attendance in classroom training and placements and following up absentees
  • Typing up evaluation forms at the end of a course
  • Assisting the trainee/apprentice in making the induction packs and portfolios
  • Overseeing the trainee/apprentice in their day to day activities
  • Checking and monitoring the Health and Safety Assessment Records
  • Register learners on ForSkills
  • Stationery order - Toner, paper
  • MIAP learners for eligibility
  • Any other tasks set by the MIS Manager

Skills and Experience

  • Level 3 Business Administration or equivalent
  • 2 years’ experience in a Training environment
  • Knowledge of ESFA funding rules and requirements
  • Be confident in using Microsoft Word and Excel
  • Exceptional Organisational Skills

Key Performance Indicators:

  • Meeting deadlines as set through SMART targets
  • Supplying accurate service
  • Ensuring 100% compliance of paperwork
  • Less than 2% error rating on paperwork submissions

Required Competencies:

  • Demonstrate accuracy and attention to detail at all times
  • Demonstrate excellent time-keeping
  • Be able to set SMART targets for own workload
  • Demonstrate use of own initiative
  • Ability to support and guide other trainees / apprentices
  • Understand administrative processes and be able to develop systems and operational procedures
  • Ability to develop self and identify own areas for improvement
  • Be flexible and adaptable to change in the workplace
