Medical Secretary

We are in search for a Medical Secretary to work for us on a fixed term contract. You will provide a comprehensive administration service to the clinical team. Ensuring that the throughput of medical secretarial work meets standards of accuracy and timelines.

All GP correspondence, urgent hospital appointments, e-referrals, pathology results etc. and the secretarial work for in house clinics and provider services are carried out in an efficient and timely manner. To be responsible for the organisation of their own workload and delegated decisions/actions, as deemed appropriate by the administration manager or team leader/manager.

Location: South Kensington

Temporary:Expected to last 12 weeks with possible extension

Hours: 9am - 6pm Monday to Friday

Salary:£13.50 per hour umbrella or £11.00per hour paye

Duties:

  • Type GP correspondence, using a embedded consultations /digital dictation system, to ensure that routine referral letters are distributed efficiently within a 5 day period, using the ERS programme
  • Process of Clinical correspondence, ensuring letters are signed and distributed in accordance with the protocol for each GP
  • Highlight any action points to GPs/Clinicians. Ensure all waiting list proformas are returned appropriately
  • Type correspondence from provider services clinics and complete requests i.e. x-ray, MRI requests
  • Accurately type medical reports, liaising with patients where they wish to read reports prior to dispatch and generating invoices
  • Deal with other clinicians’ secretarial needs, typing letters from the digital dictation system, tapes or copy typing
  • Keep up to date with changes in referral systems and new proformas by reading e-mails sent to the practice
  • Make best use of the Practice computer system to ensure good communication and audit standards
  • Undertake queries on behalf of patients, trying to establish their concerns and trying to resolve, keeping the patient informed at all times
  • Record all data connected to patients attending in-house clinics correctly on relevant spreadsheets
  • Ensure all patients are seen within 18 weeks wait criteria, highlighting any areas of concern
  • Take calls from patients wishing to make appointments with the provider services clinics through the ERS

Experience/ Skills:

  • Audio typing
  • Experience of setting up and maintaining filing systems
  • Experience of dealing with the patients and working within teams
  • Competence in using a number of software packages: Microsoft Word, Excel, Power point
  • Experience of minute taking
  • Understanding of and commitment to NHS Guidelines, Equal Opportunities Policy
  • Understanding of a commitment to confidentiality
  • Previous experience of working as a secretary
  • Experience of working within a Health or Adult Services setting
  • Understanding of medical terminology
  • Experience using Systmone is ideal
