Lettings Administrator

Hours: Monday to Friday 09:00 - 5:30 with 1 hour lunch

Department: Lettings

Report to: Residential Lettings Manager

Main Tasks & Responsibilities:
  • Answering the phone and dealing with enquiries
  • To provide administrative support to the Lettings Team
  • Dealing with callers to the office
  • Property to market administration including keeping window cards, boards and websites up to date
  • Administration of lets including typing, letter writing, and diary management
  • Taking Application Deposits and drawing up letters when required
  • Compilation of Tenancy Agreements (new Tenancies, Renewals, Changeovers)
  • Packaging and processing of Tenancy files & Tenant welcome packs
  • Updating Landlords on the progress of Tenancies
  • Keeping & updating a working record of agreed lets & renewals
  • Arranging key cutting
  • Preparing keys for inventory clerks
  • Organising EPC’s, gas safety certificates and electrical certificates where required
  • Setting up TDS certificates
  • Collecting Money Laundering & Right to Rent documents from Landlords and Tenants
  • Finalise signing of legal documentation and collection of monies from Tenants
  • To ensure the office has all stationery requirements and plenty of tenant files and landlord brochures are made up.
  • To keep up to date with day to day filing
  • Undertaking viewings when required
  • To keep CFP up to date and in order
  • Provide a first class service dealing with enquiries and ensuring correct procedures are followed
  • Assist in creating systems to improve service delivery and ensure compliance standards are not compromised
  • To have a driving license and use a pool car in the course of business as described above
  • To keep up-dated with legal changes in Lettings Legislation and Regulations
  • Attend any relevant training courses that are appropriate to the job title and specification
  • To achieve ARLA Propertymark Technical Award Level 3 within 24 months of employment
  • To follow the department Service Standards

Person Specification:

  • This position is 100% customer focused and requires a team player who is also able to work on their own initiative and under pressure. There will often be administration deadlines alongside the need to provide a bright and cheerful presence in the front office. The ability to remain calm under pressure and prioritise workload is essential
  • Must be very well organised
  • Must be able to prioritise and work to tight deadlines, there are many administration matters that are time critical due to legislation and must be carried out no matter how busy the department may be
  • Fast and accurate typing ability
  • Accurate numerical skills
  • Very good communication skills
  • Must be confident to deal with people in all situations, face to face in the office, on the telephone and at promotional events. Due to the nature of the work we are often faced with very difficult situations and must be able to confidently and successfully deal with this
  • Must be creative in order to produce attractive and original newsletters, window displays etc.
  • A professional and respectful dress code
