Description
Atlas Employment are pleased to be working with this market leading Property Agency; who after a very successful 2017 are looking to expand their Oxford office. They are looking for an efficient Administrator to join the Lettings Team, specialising in short term lets. This is a fast-paced environment that requires professionalism at all times, the ability to juggle multiple tasks at once and to ensure a successful outcome for both the vendor and client.

Duties

  • Handling short let enquiries on the telephone, walk in enquiries and all booking portals
  • Converting enquiries into bookings
  • Checking and confirming enquiries with the owner of the property
  • Negotiating the best rate for the booking with the owner and the guest
  • Preparing holiday let agreement paperwork once a booking is confirmed
  • Keeping owners up to date with confirmed bookings
  • Sending of required documents to Accounts dept. (e.g. Copies of confirmed holiday lets, folders for holiday lets due to end to accounts for processing of deposit)
  • Management of listings on the website and all booking portals
  • Sending out check in/check out emails to guests
  • Chasing signing of holiday let agreements by guests
  • Printing property information packs and preparing keys for key collections
  • Organising key cutting where required
  • Logging guest information on Short Let Database
  • Helping with out of hours check ins/check outs - paid extra
  • Carrying out viewings at properties with guests where required
  • Helping to cover aspects of the property management side of things when other staff members are on holiday
  • Handing out keys to contractors, logging key movements & tagging up of new keys
  • Answering of telephones, taking messages for other members of staff where appropriate
  • Relaying of any card payments received to accounts department
  • Managing card payments for bookings and also returning deposits on the card machine
  • Chasing owners for payment when there is a deficit balance on their account
  • Preparing of invoices where requested
  • Sending final balance reminders to guests

Requirements

  • Full driving license
  • Excellent communication skills
  • Microsoft office skills including Word and Excel
  • Flexible approach
  • Previous experience in estate agency
  • Exceptional administration abilities
