Legal Secretary - Clinical Negligence / PI / Medical

This exceptional firm require a new person to join their Clinical Negligence Team on a permanent basis. Ideally you will have experience within Clinical Negligence, PI or from a medical background. This role is to provide a high level of assistance to a partner/s. The secretarial role will vary depending on the exact requirements of the lawyers and partners you support.

Main Duties and Responsibilities:

•Extensive diary management, including arranging meetings and appointments for partner/s both internally and externally, taking responsibility for booking meeting rooms, ensuring necessary equipment and refreshments are booked. Making travel arrangements and itineraries when necessary.

•Pro-actively managing the time and resources of the partner/s to maximise his/her goals effectively. Organising the diary to ensure time is allocated for clients and projects, and that the partner/s is well prepared for meetings in advance.

•First point of contact for clients, deal with incoming telephone calls in a professional and efficient manner, including taking and passing on clear messages, trying to assist and deal with any non-legal queries if possible and ensuring the caller receives a satisfactory response.

•Screening, prioritising and dealing with partner/s incoming emails, post and voicemail when partner/s are out of the office, acknowledging receipt and responding where appropriate.

•Manage urgent/confidential audio typing, drafting correspondence, producing short non-legal documents/letters/emails/file notes and memo’s.

•Meeting minute taking, preparation of agendas, presentations and action lists.

•Support partner/s with client service initiatives and when appropriate, in conjunction with the events team, take part and support client events

•Assist partner/s with making amendments and proof-reading tender documents.

•Open client files following firm procedures, prepare client engagement letters, maintain hard copy client files on a day-to-day basis and ensure all electronic copies of emails and any documents are filed correctly.

•Assisting partner/s as required with daily time recording

•Manage the billing process from beginning to end, including preparing draft billing guides, checking figures for accuracy, checking all disbursements have been dealt with and drafting standard cover letters where appropriate.

•Assisting partner/s and credit control with client queries regarding outstanding invoices.

•Excellent knowledge of the firm’s accounts procedures including dealing with incoming cheques and completing cheque requests.

Person Specification

•Experience of working within a busy legal office environment

•Must be computer literate with excellent working knowledge of Word, Excel, PowerPoint and Outlook

•Good written and verbal communication skills

•Fast and accurate audio typing

•Working within agreed deadlines and ability to stay calm under pressure

•Accuracy, efficiency and presentation of work

•Demonstrating flexibility

•Strong team player

•Providing highest standards of client service

•Professional personal presentation


•Discretion, tact and ensuring the confidentiality of client and firm affairs

This excellent employer works a 35 hour week between 9.00am to 5.00pm Monday to Friday. 25 Days of annual leave plus statutory Bank Holidays plus many other additional benefits.
