Legal Practice Manager needed for flourishing boutique firm!
Salary up to £33,000 - 33 days annual leave (including public holidays)
The Legal Practice Manager shall be responsible for the smooth running, efficient, effective and regulatory compliant management of the Practice and to promote and support the wellbeing and harmony of the LLPs staff, fee earners and clients.
As expected, this role requires excellent attention to detail, the ability to 'spin plates' and be both pro-active and pre-emptive.

Member Secretary and Administrator
Compile the agenda for all meetings
Convene, attend, participate and be responsible for the minutes of the meetings and subsequent distribution
Organise and participate in staff meetings
Arrange all administration to support the role of COFA and COLP
Personally support the Members of the LLP in matters relating to management
Remind Members of agreed LLP policy
Checking emails in Member's absence
Drafting Powerpoint slides for presentations
Personnel, Health and Safety and Equality and Diversity Management
Support the recruitment, selection and induction of employees, ensuring that health and safety and equality and diversity instruction is provided
Manage the activities of all clerical, secretarial and administration support staff, ensuring an effective service is provided
Ensure all administration records are completed in an accurate and timely manner
Ensure that all regulatory and statutory obligations are adhered to, ensuring compliance with the same
To undertake disability assessments and health and safety reviews, including the recommendation and implementation of improvements
To maintain Continuous Professional Development Records as required by the Solicitors Regulation Authority and to renew Practising Certificates
Communicate agreed LLP policy to staff and recommend systems to support such policies and recommend efficiencies to the Members
Be responsible for an effective appraisal/personal development system and any resulting training
To determine and maintain an efficient and cost-effective level of staffing and hours of work required for the running of the LLP, including arranging duty and holiday rotations and to liaise with staff to provide satisfactory cover for the same
To liaise and consult with the Members where appropriate and reasonable
To administer all systems fairly
Along with other secretarial staff:
Book meeting rooms
Arrange hospitality, any reasonable adjustments and catering for clients
To support the staff in any contact with clients or difficult clients in person or by telephone
Take new client enquiries
To ensure that any LLP marketing or information services are accessible to the client in hard copy, or on the website, where appropriate, and are kept up to date
To act as the LLP's Complaints officer in line with SRA/Legal Services Board requirements including administering complaints and recording the outcome, implementing recommendations where appropriate, staff training and learning arising from complaints, filing complaints and improving procedures where necessary
Support the Members compliance with all legal and regulatory obligations
Effect and maintain the LLP's insurance policies, public and third-party liability, employer's liability, premises and equipment, liaising where appropriate with insurers and agents/contractors (e.g. IT, telephone, photocopying, services premises)
To maintain files relating to insurance, and the maintenance of essential contracts, ensuring that support contracts for necessary maintenance are in order
Ensure the security of staff and property
Be responsible for ordering and replenishing office equipment (toners/printing cartridges, stamps etc) and all stationery supplies (envelopes, paper, files, lever arch files) , keeping inventories
Order and replenish business cards
Arrange IT systems support, management and training
Deal promptly with all correspondence and emails
Distribute post and DX
Ensure the LLP is up to date with any new developments in legal practice management
General office administration and cover for the PA, where necessary (eg holiday periods)
Organising team appraisals
Ensure confidential waste disposal
Ensure membership subscriptions are up to date and all existing memberships have been transferred
Maintain and administer a courier and taxi account
Arrange for external copying
Update the LLP's Office Manual
Liaise with IT systems suppliers for the efficient functioning and systems administration of all IT hardware (laptops, desk tops) and software applications and for telephone communications (phones, Blackberry)
Organising training and supervision of staff in the use of IT
Ensure that the security and integrity of the IT systems is not compromised
Set up files and directories for effective administration
Ensure all fee earners contacts are up to date
Enter appointments into Outlook diaries
Preserve the integrity of the company logo and ensure its presence on stationary, compliment slips, the website, emails (where appropriate)
Prepare annual reports for the Members
Ensure money laundering regulations are complied with
Prepare the LLP for external inspections and any regulatory audits and assist to ensure compliance
