IT Operations & Planning Coordinator
Purpose of Role:
The primary purpose of the role is to provide high quality administrative, operational and project related support to the Chief Information Officer (CIO) as a means of ensuring the smooth management of the IT function in Ireland and the UK.
The IT Operations & Planning Coordinator will be expected to proactively and intuitively support the CIO to enable them to operate with maximum efficiency and effectiveness in running the IT function. The role will provide administration and organisational support and includes IT project support across the IE & UK Cluster.
Main Tasks and Responsibilities:
·Provide full administration support to the CIO, to include reporting and data analysis using Excel and PowerPoint.
·Support the planning, execution and monitoring of key IT business processes and projects to ensure the smooth running of the Cluster.
·Actively support the further development and optimisation of IT business reporting.
·Perform Analysis and evaluation of IT KPIs.
·Draft and prepare presentations, letters, reports as required and carry out relevant desk research if required.
·Implement and maintain effective filling systems for storage and retrieval of information including paper and electronic files.
·Monitor, maintain and update the relevant IT sections of the organisation’s website, ensuring that information is accurate and up to date and keeping in line with internal processes.
·Manage the IT business communications to promote the IT Dept both internally and externally using external platforms such as LinkedIn.
Manage 3rd party supplier contracts to facilitate adequate support.
·To abide to the Compliance Policies and Procedures of the Company.
·Take reasonable care of your own and other people’s Health & Safety in the workplace.
·Report hazards in your work or in your work environment that may be putting your or anyone else’s Health & Safety at risk.

Experience / Knowledge:
·High standards of computer literacy and analytical capabilities including key MS Office packages (Excel, Word, PowerPoint)
·Keen attention to detail and accuracy in recording statistical data and providing reports.
·Excellent organisational and planning skills able to deliver accurate, detailed and quality work.
·Technical and SOP writing skills
·Ability to work on own initiative and without direct supervision, with proactive approach to ensure support for the needs of the CIO.
·Excellent communication skills - both written and verbal
·Excellent planning and time management skills with ability to prioritise work and manage conflicting deadlines.
·Experience working within a multinational culture.
·Ability to work in a fast-paced growing environment.
·Strong team working & interpersonal skills in order to interact with a range of internal & external stakeholders.
·Self-motivated, able to prioritise work to meet tight deadlines.
·Flexible, organised, and can-do attitude, with ability to move between tasks & handle work from a variety of sources.
·Proven ability to maintain confidentiality and discretion.
·Able to work outside office hours on occasions and ability to travel as part of role including spending occasional nights away from home.
Qualifications / Education
Desirable: Educated to Graduate Level or equivalent in finance, business administration or equivalent education
