IFA Administrator

Eventus Recruitment are seeking an IFA Administrator to join a modern and fast-paced team in Altrincham, Cheshire. Working in the Client Services team, reporting to the Practice Manager, you will be liaising closely with the team of Financial Planners. You will be responsible for the impeccable management of business submission, preparing adviser meetings packs, ensuring client records remain accurate and complete, and managing a high level of plan information requests (Letters of Authority). You will benefit from 25 days holidays (PLUS bank holidays), Hybrid working (3 days office, 2 days remote working from home), flexible working policy, and study support.

Role Responsibilities

The incoming IFA Administrator will provide high quality administrative support to Financial Advisers and the Practice Manager including, but not limited to:

• Supporting the day-to-day operations for advisers.
• Liaising with clients to help with any questions and queries and booking in review meetings as appropriate.
• Liaising with third parties to provide information on clients plans & using checklists to ensure all information has been provided once received and chasing up outstanding information.
• Obtaining quotations from product providers and provide illustrations and product information to the Advisers as required.
• Preparing files including: compliance required documentation; research; illustrations; supporting documentation, prior to sale.
• Ensuring that files are complete post-sale with all required client identification documentation and necessary application forms.
• Maintaining accurate client information, files/records, ensuring that clients are placed into a review system as agreed with the Adviser.
• Preparing portfolio valuations as requested.
• Processing new business applications and fund switches.
• Attending and contribute to regular update meetings with the Administration Team Manager.
• Projecting a professional image in both appearance and attitude and provide quality support on time to agreed standards.
• Supporting the practice to ensure the end-to-end business process is adhered to and tracked efficiently in line with practice and regulatory standards.
• Maintaining technical competence at an appropriate level to meet the requirements of the role.
• Maintaining a good working relationship with colleagues, clients and third parties.

Person Specification

As a Financial Planning Administrator, you will be able to demonstrate exceptional administrative skills within financial services and possess the skills below:

• Exceptional interpersonal skills, assertive whilst friendly with a professional demeanour.
• Financial planning knowledge.
• Impeccable face-to-face and telephone client interaction skills and ability to build rapports swiftly with all manner of personalities.
• Impeccable written communication skills.
• Excellent organisation skills.
• Excellent Microsoft Office skills, with an ability to adapt and learn the use of internal systems and databases.
• Good at managing own workload and ability to prioritise tasks whilst retaining a high level of attention to detail in a fast-paced environment.
• Good time management with the ability to multi-task and change focus throughout the day when necessary.
• An ability to remain calm when faced with conflicting demands whilst demonstrating a positive attitude at all times.
• Highly self-motivated, attentive and a can-do attitude.
• A team player.

As you will have contact with clients in this IFA Administrator job, it is essential that you are professional and confident in dealing with third parties, have excellent communication skills and can work with total discretion.
