HR Administrator Maternity Cover 12 Months FTC

An exciting opportunity to join the HR team of a market leading Park & Leisure Homes Manufacturer. This is a 12 Month Fixed Term Contract (Maternity Cover).

SPECIFIC DUTIES

Recruitment and Selection
*Supporting the HR Team including carrying out administrative process in the recruitment process, for example prepare recruitment documents, organise interviews, draft and place adverts, log application forms, administer recruitment campaigns, support Managers with interview and administering tests where appropriate.
*Ensure the HR service complies recruitment practice and compliance including right to work checks.

On-boarding and Induction
*Administer the process for new starters across the business, i.e. prepare contracts, offer letters and process all pre-employment checks.
*Conduct induction meetings with new employees
*Administer and co-ordinate the probation process
*Ensure new employee health questionnaires are administered using online system

Payroll
*Ensure that all payroll instructions are prepared and logged in time for the monthly payroll runs and submitted to payroll/payroll bureau, i.e. contract variations, new starters, leavers, absences.

Learning & Development
*Administer booking of courses, liaising with providers, preparing training agreements.
*Ensuring all paperwork is logged and filed on employee's electronic and personnel file.
*Co-ordinate on-site training courses

HR systems and reporting
*Ensure the time and attendance/HR database accurately reflects current staff and personal info. This includes inputting starters and leavers, contractual amendments, change of details, annual leave and recording of sickness and other leave.
*Ensuring all anomalies on time and attendance are addressed in a timely manner and escalate to the HR Advisor/Manager when appropriate.
*Provide reports from the database as required.
*Maintaining employee information is kept up to date
*Maintain the pension portal with starters, leavers, changes to earnings and personal info i.e. addresses

Advice and Guidance
*Provide day to day advice to employees and line managers on general HR related queries escalating more complex issues to the HR Advisor/HR Manager.
*Assist in formal meetings, such as employee disciplinaries/investigations, undertaking such tasks as may be required by the HR Manager i.e. note taking, obtaining advice from the HR Advisor/Manager as required.
*Prepare invite letters and paperwork in preparation for formal meetings and ensuring timely issue of outcome correspondence and meetings notes are issued to employee.
*Ensure all paperwork is filed on employee electronic and paper files.

Absence Management
*Recording and communication of daily absence to line managers.
*Prepare and maintain employee absence histories to accompany return to work paperwork
*Log all absences and activity including type of absence, return to work documentation and file on employee electronic and paper files.
*Assess employee attendance and highlight triggers for formal action to line managers and HR Advisor/Manager to address as appropriate
*Prepare invite and outcome letters and issue to employee
*Support in absence meetings as required.

Leaver Administration
*Ensure resignations are acknowledged in a timely manner,
*Ensure all company property is documented for return in leaver correspondence and ensuring Line Manager receives all property on last date.
*Conduct exit interviews and document on file ensuring escalation to the HR Manager where necessary.

General Admin/Duties
*Carry out general administration tasks for the HR Team
*Manage employee birthday cards across the business
*Respond to reference requests
*Administer and co-ordinate Occupational Health Assessments
*Ensure electronic and paper based personnel files are maintained
*Maintain an up to date Procedures Manual for all HR Administration duties
*Co-ordinate uniform requirements for factory personnel
*Attend meetings as required
*Involvement in administering and co-ordinating company social events and communications
*Organise and co-ordinate archiving of HR file and information.

Salary: £18,000 - £19,000 DOE.

Hours of work: Monday - Friday. 8.30am - 5pm.

Location: You will be working between the Rushden and Kettering Office - Own car is essential.
